Financial Aid Coordinator

Full-time/12-month employment agreement

The following descriptions aim to outline the general nature and level of responsibilities associated with this role. They are not intended to be an exhaustive list of all tasks, duties, and skills required.

POSITION OVERVIEW:
The Financial Aid Coordinator plays a vital role in supporting the Director of Financial Aid in managing all facets of student financial assistance at Bluffton University. This includes overseeing federal, state, and institutional grants, scholarships, loans, and student employment programs. The ideal candidate must possess a thorough understanding of federal, state, and institutional financial aid programs along with their associated regulations, policies, and procedures.

KEY RESPONSIBILITIES:

  • Prepare and adjust financial aid packages for all returning traditional students following spring registration and for any new or prospective students as required.
  • Manage daily FAFSA/ISIR uploads to PowerFAIDS and initiate processing of ISIRs for award packaging.
  • Advise students and their families regarding financial aid processes and scholarship opportunities.
  • Package and revise financial aid for AGS students (adult programs).
  • Establish and maintain student records and an organized filing system.
  • Conduct verifications for federally selected FAFSA applicants and ensure compliance with federal and institutional verification standards. Address any discrepancies and complete verifications for non-federally selected FAFSA applicants under special circumstances.
  • Assist in or lead financial aid workshops and presentations.
  • Develop, implement, and maintain the financial aid policies and procedures manual in accordance with NASFAA guidelines.
  • Oversee record retention policies to ensure federal compliance.
  • Conduct monthly reconciliations of federal grant and loan programs (Direct loans, Pell, TEACH).
  • Certify and process private education loans.
  • Manage certification and processing of federal direct student and parent loans.
  • Disburse financial aid to student accounts and reconcile financial aid with student accounts.
  • Calculate financial aid adjustments for students who withdraw, adhering to institutional and federal guidelines.
  • Monitor Satisfactory Academic Progress (SAP) and communicate with students regarding their status.
  • Report and reconcile state grant programs (OCOG, War Orphans, National Guard, Choose Ohio First, etc.).
  • Administer renewal GPA requirements for Bluffton's scholarship initiatives.

ADDITIONAL RESPONSIBILITIES:

  • Assist with institutional research or surveys as needed.
  • Manage special projects as assigned.
  • Represent Bluffton University at relevant professional gatherings.
  • Act as the interim director of financial aid in the absence of the director.
  • Perform other tasks as required.

EDUCATION, SKILLS, AND PREFERRED EXPERIENCE:

Minimum Requirements:

  • Education/Certification: Bachelor's degree required; Master's degree preferred.
  • Experience: 2-3 years of experience in financial aid or a related field.
  • Skills: Proficiency in computer systems: MS Word, Excel, ACCESS, PC network environments, database systems/CRMs, and integrated software applications; comprehensive knowledge of federal, state, and institutional financial aid programs and their regulations, policies, and procedures; willingness to participate in specialized training.
  • Special Abilities: Ability to effectively engage with students and families regarding sensitive financial matters; commitment to providing exceptional customer service; strong administrative, management, and IT skills; ability to maintain confidentiality of sensitive information; attention to detail and excellent organizational skills; strong interpersonal, written, and verbal communication skills; quick adaptability and capability to work under pressure.
