Financial Aid Specialist

The following statements aim to outline the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required of personnel so classified.

POSITION SUMMARY:
The Financial Aid Specialist supports the Director of Financial Aid in managing all facets of student financial assistance at Bluffton University, encompassing all federal, state, and institutional grants, scholarships, loans, and student employment programs. The ideal candidate must possess a thorough understanding of federal, state, and institutional financial aid programs along with their regulations, policies, and procedures.

KEY RESPONSIBILITIES:

  • Package and revise awards for all continuing traditional students following spring registration and any new or prospective students as required.
  • Conduct daily FAFSA/ISIR uploads to PowerFAIDS and initiate processing of ISIRs for award packaging.
  • Advise students and families regarding financial aid processes and scholarship opportunities.
  • Package and update financial aid for adult degree completion students.
  • Establish and maintain student records and filing systems.
  • Carry out verifications for federally selected FAFSA filers and ensure compliance with federal and institutional verification policies. Address any conflicting information issues. Complete verification for non-federally selected FAFSA filers who file under special circumstances.
  • Assist in or lead financial aid presentations and workshops.
  • Plan, develop, implement, and maintain the financial aid policies and procedures manual in accordance with NASFAA guidelines.
  • Oversee record retention policies for federal compliance.
  • Conduct monthly reconciliations of Federal grant and loan programs.
  • Certify and process private education loans.
  • Manage certification and processing of federal direct student and parent loans.
  • Disburse aid to student accounts and reconcile financial aid with student accounts.
  • Handle financial aid revisions and calculations for withdrawn students in accordance with institutional and federal requirements.
  • Monitor Satisfactory Academic Progress (SAP) and communicate with students accordingly.
  • Report and reconcile state grant programs.
  • Administer renewal GPA requirements for Bluffton's scholarship initiatives.

ADDITIONAL RESPONSIBILITIES:

  • Assist with institutional research or surveys as needed.
  • Oversee special projects as assigned.
  • Represent Bluffton University at relevant professional gatherings.
  • Act as the interim director of financial aid in the absence of the director.
  • Perform any other tasks as assigned.

EDUCATION, SKILLS, AND PREFERRED EXPERIENCE:

Minimum Qualifications:

  • Education/Certification: Bachelor's degree required; Master's degree preferred.
  • Experience: 2-3 years of experience in financial aid or a related field.
  • Skills: Proficiency in computer systems including MS Word, Excel, ACCESS, and database systems; comprehensive knowledge of federal, state, and institutional financial aid programs and their regulations; willingness to engage in ongoing training.
  • Special Abilities: Ability to work effectively with students and families on sensitive financial matters; commitment to exceptional customer service; strong administrative, management, and IT skills; maintain confidentiality of sensitive information; attention to detail and strong organizational capabilities; excellent interpersonal, written, and verbal communication skills; ability to learn quickly and work under pressure.
