Financial Aid Specialist

Full-time/12-month employment agreement

POSITION OVERVIEW:
The Financial Aid Specialist plays a crucial role in supporting the Director of Financial Aid in managing all facets of student financial assistance at Bluffton University. This includes overseeing federal, state, and institutional grants, scholarships, loans, and student employment programs. The ideal candidate must possess a thorough understanding of federal, state, and institutional financial aid programs along with their respective regulations, policies, and procedures.

KEY RESPONSIBILITIES:

  • Prepare and adjust financial aid packages for all returning traditional students following spring registration and for any new or prospective students as required.
  • Execute daily FAFSA/ISIR uploads to PowerFAIDS and manage the initial processing of ISIRs for award packaging.
  • Advise students and their families regarding financial aid processes and scholarship opportunities.
  • Package and update financial aid for adult program students.
  • Establish and maintain student records and filing systems.
  • Conduct verifications for federally selected FAFSA applicants and ensure compliance with federal and institutional verification policies. Address any discrepancies in information. Complete verification for non-federally selected FAFSA applicants under special circumstances.
  • Assist in or lead financial aid workshops and presentations.
  • Develop, implement, and maintain the financial aid policies and procedures manual in accordance with NASFAA guidelines.
  • Ensure adherence to record retention rules and procedures for federal compliance.
  • Perform monthly reconciliations of federal grant and loan programs.
  • Certify and process private education loans.
  • Manage the certification and processing of federal direct student and parent loans.
  • Disburse financial aid to student accounts and reconcile financial aid with student accounts.
  • Handle financial aid revisions and calculations for students who have withdrawn.
  • Monitor Satisfactory Academic Progress (SAP) and communicate with students regarding their status.
  • Oversee state grant reporting and reconciliation.
  • Administer renewal GPA requirements for Bluffton's scholarship programs.

ADDITIONAL RESPONSIBILITIES:

  • Assist with institutional research or surveys as required.
  • Manage special projects as assigned.
  • Represent Bluffton University at relevant professional gatherings.
  • Act as the interim director of financial aid in the absence of the director.
  • Perform any other tasks as assigned.

EDUCATION, SKILLS, AND PREFERRED EXPERIENCE:

Minimum Qualifications:

  • Education/Certification: Bachelor's degree required; Master's degree preferred.
  • Experience: 2-3 years of experience in financial aid or a related field.
  • Skills: Proficiency in computer systems including MS Word, Excel, ACCESS, and database systems; comprehensive knowledge of federal, state, and institutional financial aid programs and their regulations; willingness to participate in ongoing training.
  • Special Abilities: Ability to effectively engage with students and families regarding sensitive financial matters; commitment to exceptional customer service; strong administrative, management, and IT skills; maintain confidentiality of sensitive information; attention to detail and strong organizational capabilities; excellent interpersonal, written, and verbal communication skills; quick learner able to perform under pressure.
