The Department of Radiology is actively seeking a Records Assistant (H) to support operations at the Sylvester Cancer Center (SCCC) in Miami. The successful candidate will be responsible for compiling, scanning, and organizing various records for designated department(s). This role is crucial in maintaining record confidentiality and ensuring compliance with all relevant standards and regulations.

CORE JOB FUNCTIONS

  • Compile, scan, and organize records, ensuring they are current and accurately filed.
  • Review and respond to requests for records, retrieving and coordinating the dissemination of information to relevant departments.
  • Assess the accuracy and completeness of records, alerting appropriate personnel to potential discrepancies and taking corrective actions to maintain data integrity.
  • Make photocopies of records for scanning purposes and assist in the removal of outdated records.
  • Uphold the confidentiality of all records, adhering to University and departmental policies and safeguarding University assets.

DEPARTMENT ADDENDUM

Department Specific Functions

  • Facilitate workflow at the UM Imaging counters for the import/export of digital studies and documents to/from PACS or UChart, and manage film jacket/CD requests via various communication methods.
  • Address digital imaging record inquiries through in-person, fax, telephone, subpoenas, and legal requests.
  • Timely retrieval of messages from voicemail and resolution of radiology exceptions in PACS.
  • Maintain accurate clerical systems and records, collaborating closely with physicians and acting as a departmental liaison across all clinical areas.
  • Oversee the release of digital information, ensuring records are accessible to patients, physicians, and clinical staff for all studies and procedures.
  • Manage document services in conjunction with the records retention vendor.
  • Support workflow at the counter for processing film jacket/CD requests through various communication channels.
  • Ensure high levels of customer satisfaction by consistently embodying our DIRECCT values.
  • Assist in the onboarding and training of departmental staff.
  • Comply with hospital requirements, Joint Commission standards, State regulations, and collaborate with the HIPAA Privacy Office to ensure HIPAA compliance.
  • Establish and continuously evaluate the effectiveness of internal controls within the unit, ensuring adherence to university policies and procedures.
  • Ensure staff are trained on internal controls and university policies and procedures.

CORE QUALIFICATIONS

Education:

High school diploma or equivalent.

Experience:

A minimum of 1 year of relevant experience.

Knowledge, Skills, and Attitudes:

  • General understanding of office procedures and operations.
  • Ability to accurately prepare and maintain records, files, reports, and correspondence.
  • Capability to comprehend and follow instructions effectively.
  • Skill in completing assignments with precision and attention to detail.
  • Ability to manage and handle confidential information with discretion.
