The Department of Radiology is actively seeking a Records Assistant (H) to join our team. The selected candidate will be responsible for compiling, scanning, and organizing various records for designated departments. This role is essential in maintaining record confidentiality and ensuring compliance with all relevant standards and regulations.

CORE JOB FUNCTIONS

  • Compile, scan, and organize records, ensuring they are current and properly filed.
  • Review and respond to record requests, retrieving and coordinating the dissemination of information to relevant departments.
  • Verify the accuracy and completeness of records, alerting appropriate personnel to potential discrepancies and taking corrective actions as necessary.
  • Make photocopies of records for scanning and assist in the removal of outdated records.
  • Maintain the confidentiality of all records while adhering to University policies and safeguarding University assets.

DEPARTMENT ADDENDUM

Department Specific Functions

  • Support workflow at the UM Imaging counters for the import/export of digital studies and documents to/from PACS or UChart, and manage film jacket/CD requests via various communication methods.
  • Address digital imaging record inquiries through in-person, fax, telephone, subpoenas, and legal requests.
  • Timely retrieve messages from voicemail and resolve radiology exceptions in PACS.
  • Maintain accurate clerical systems and records, collaborating closely with physicians and serving as a liaison for all clinical areas.
  • Oversee the release of digital information, ensuring records are accessible to patients, physicians, and clinical staff for all studies and procedures.
  • Manage document services in collaboration with the records retention vendor.
  • Facilitate the workflow at the counter for processing film jacket/CD requests.
  • Ensure high levels of customer satisfaction by consistently upholding our core values.
  • Assist with onboarding and training of departmental staff.
  • Comply with hospital requirements, Joint Commission standards, state regulations, and work closely with the HIPAA Privacy Office to ensure compliance.
  • Establish and continuously evaluate the effectiveness of internal controls and adherence to university policies.
  • Ensure staff are trained on controls and university policies.

CORE QUALIFICATIONS

Education:

High school diploma or equivalent.

Experience:

A minimum of 1 year of relevant experience.

Knowledge, Skills, and Attitudes:

  • General understanding of office procedures and operations.
  • Ability to accurately prepare and maintain records, files, reports, and correspondence.
  • Ability to comprehend and follow instructions effectively.
  • Skill in completing assignments with precision and attention to detail.
  • Ability to handle confidential information with discretion.
