Service Parts Administrator

Position Summary
In this role, you will work closely under the guidance of a District Manager to manage the allocation and distribution of parts and materials for service repairs and customer requests. Your responsibilities will include processing parts orders and performing various functions within the Parts Department, such as overseeing inventory control for parts and materials both in stock and on order. You will engage regularly with Branch personnel and maintain ongoing communication with customers and external staff, providing an excellent opportunity to cultivate strong customer relationships.
Key Responsibilities:
- Maintain and update the inventory control system, assisting with audits conducted by company auditors.
- Request parts from suppliers, ensuring follow-up on purchase orders and managing correspondence related to back orders. Regularly update documentation.
- Assist in training or cross-training other office personnel as needed.
- Receive and verify parts shipments against packing slips, ensuring accuracy with invoices and purchase orders.
- Process Return Apparatus Tags (RAT) for warranty claims and verify warranty and maintenance credits.
- Support the replenishment of truck inventories and manage parts transfers between branches.
- Facilitate over-the-counter parts sales to walk-in customers, including stocking and retrieving parts, and assist with tracking consignment processes.
- Prepare reports on order statuses and identify parts and material shortages.
- Stay informed about new products and related parts necessary for various modifications, keeping bulletins current.
- Process mail orders for parts from customers and handle telephone orders, including pricing and order documentation.
- Follow up with customers and service personnel regarding parts availability as requested.
- Manage credits for returned merchandise and respond to technicians' requests for parts.
- Monitor all pending credits and assist with cycle counts and inventories.
To qualify for this position, candidates should possess:
- A high school diploma or equivalent, with additional business or trade school education preferred.
- A minimum of 1 year of experience in parts management or clerical roles, including responsibilities such as ordering, shipping, receiving, parts sales, and inventory control.
- The ability to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Strong verbal, written, and interpersonal communication skills.
- Preferred knowledge and experience in Inventory Management.
- Ability to sit for extended periods.
- Frequent use of the telephone for communication.
- Capability to lift weights between 50-75 lbs with or without assistance.
- Comfort with climbing ladders up to 8 ft.
- Ability to kneel, squat, bend, push, and pull as necessary.
- Exposure to varying environmental conditions such as noise, heat, and cold.
- Willingness to work overtime as required.
