Healthcare Administrative Coordinator

Big Stone Therapies, Inc. is actively seeking a dedicated Clinic Administrative Assistant to enhance our operations at our rehabilitation therapy facility. This full-time role encompasses a commitment of 40 hours per week, Monday through Friday, from 8:00 AM to 4:30 PM, including a daily 30-minute unpaid break.
Key Responsibilities:
Appointment Management
- Facilitate the scheduling of new patient referrals, ensuring accurate demographic and insurance information is collected.
- Handle appointment scheduling, rescheduling, and cancellations as necessary.
- Optimize patient scheduling to enhance clinic productivity.
- Conduct patient appointment reminders effectively.
- Provide clear instructions to patients to prepare them for their visits.
- Resolve any scheduling conflicts promptly.
- Evaluate staffing requirements during varying patient volumes.
- Communicate effectively with therapists regarding schedules and patient updates.
- Organize all non-patient care time, including meetings and time off.
Customer Interaction
- Exhibit exceptional customer service in all interactions with patients, visitors, and colleagues.
- Professionally manage incoming calls and emails.
- Ensure the waiting area is welcoming and well-maintained.
- Safeguard the confidentiality and security of Protected Health Information.
Additional Duties
- Manage incoming and outgoing mail.
- Perform scanning, faxing, and printing tasks as needed.
- Maintain cleanliness and sanitation of clinic areas.
- Order and manage inventory of supplies.
- Maintain accurate patient records.
- Perform opening and closing procedures for the clinic.
- Participate in meetings as required.
- Complete other assigned clinic responsibilities.
Qualifications:
Education
- High school diploma or equivalent is required.
- Preference for candidates with a two-year degree in a relevant field.
- Previous experience in a medical office or customer service environment is preferred.
Skills
- Proficient in computer applications, including Microsoft Office and internet navigation, with the ability to learn new software.
- Strong verbal and written communication skills for professional interactions.
- Excellent phone etiquette and in-person customer service skills.
- Able to adapt and excel in a dynamic, fast-paced environment.
