Job Overview

Big Stone Therapies, Inc. is actively seeking a dedicated Clinic Administrative Assistant to provide essential support within our rehabilitative therapy facility. This is a full-time role, offering a structured schedule of 40 hours per week, Monday through Friday, with a daily unpaid break.

Key Responsibilities:

Appointment Management

  • Coordinate new patient referrals by collecting and confirming demographic and insurance details.
  • Manage patient appointments, including scheduling, rescheduling, and cancellations as necessary.
  • Optimize the patient schedule to enhance clinic productivity.
  • Conduct appointment reminders for patients.
  • Provide clear instructions to patients to ensure readiness for their visits.
  • Address scheduling conflicts promptly.
  • Evaluate staffing requirements during varying patient volumes.
  • Communicate effectively with therapists regarding schedules and patient updates.
  • Organize all non-patient care activities, such as meetings and conferences.

Customer Interaction

  • Exhibit outstanding customer service in all interactions with patients, visitors, and colleagues.
  • Politely handle incoming calls and emails.
  • Ensure the waiting area is well-maintained and welcoming.
  • Safeguard the confidentiality and security of Protected Health Information.

Additional Duties

  • Distribute incoming mail.
  • Handle scanning, faxing, and printing tasks.
  • Maintain cleanliness and sanitation of clinic areas as needed.
  • Order and manage office supplies to ensure adequate stock levels.
  • Maintain accurate patient records.
  • Perform opening and closing responsibilities.
  • Participate in required meetings.
  • Complete other administrative tasks as assigned.

Qualifications:

Education

  • High school diploma or equivalent is required.
  • Preference for candidates with a two-year degree in a relevant field.
  • Previous experience in a medical office or customer service environment is preferred.

Skills

  • Proficient in computer applications, including Microsoft Office and the ability to learn new software.
  • Strong verbal and written communication skills for professional interactions.
  • Excellent phone etiquette and customer service skills.
  • Able to adapt to a dynamic and fast-paced work environment.
