Key Responsibilities:
Appointment Management
- Coordinate new patient referrals by collecting and confirming demographic and insurance details.
- Manage patient appointments, including scheduling, rescheduling, and cancellations as necessary.
- Optimize the patient schedule to enhance clinic productivity.
- Conduct appointment reminders for patients.
- Provide clear instructions to patients to ensure readiness for their visits.
- Address scheduling conflicts promptly.
- Evaluate staffing requirements during varying patient volumes.
- Communicate effectively with therapists regarding schedules and patient updates.
- Organize all non-patient care activities, such as meetings and conferences.
Customer Interaction
- Exhibit outstanding customer service in all interactions with patients, visitors, and colleagues.
- Politely handle incoming calls and emails.
- Ensure the waiting area is well-maintained and welcoming.
- Safeguard the confidentiality and security of Protected Health Information.
Additional Duties
- Distribute incoming mail.
- Handle scanning, faxing, and printing tasks.
- Maintain cleanliness and sanitation of clinic areas as needed.
- Order and manage office supplies to ensure adequate stock levels.
- Maintain accurate patient records.
- Perform opening and closing responsibilities.
- Participate in required meetings.
- Complete other administrative tasks as assigned.
Qualifications:
Education
- High school diploma or equivalent is required.
- Preference for candidates with a two-year degree in a relevant field.
- Previous experience in a medical office or customer service environment is preferred.
Skills
- Proficient in computer applications, including Microsoft Office and the ability to learn new software.
- Strong verbal and written communication skills for professional interactions.
- Excellent phone etiquette and customer service skills.
- Able to adapt to a dynamic and fast-paced work environment.
