DDG, a prominent player in the property management sector, is seeking a motivated and dedicated receptionist to enhance our front office operations. This entry-level role offers a unique opportunity to gain valuable experience in a vibrant and evolving environment.
Key Responsibilities- Manage and efficiently handle all incoming calls, including screening, routing, and monitoring calls on hold.
- Welcome guests warmly and provide assistance as required.
- Promote properties through various online platforms.
- Develop advertisements for available properties.
- Maintain and update sales leads in the Property Base Sales Force database.
- Assist in processing incoming correspondence related to property management, ensuring timely distribution to managers.
- Receive and distribute faxes promptly to the appropriate individuals or departments.
Organizational Duties:
- Maintain a monthly calendar of events and distribute it to all relevant internal parties.
- Ensure the efficient operation of all office equipment, coordinating service calls as necessary.
- Monitor and order office supplies regularly.
- Process outgoing mail with the correct postage daily.
- Support the Accounts Receivable department as needed.
- Oversee security cameras and report any unusual activities to management.
- Keep the front office and kitchen areas organized and tidy.
- Provide necessary support to staff as required.
- Experience with multi-line phone systems.
- Strong communication skills and a professional demeanor.
- Previous experience in a receptionist role is advantageous.
- Familiarity with various office equipment.
- Proficient in Microsoft Word, Excel, and other relevant software.
- Skilled in using Outlook and its features.
- Ability to handle multiple tasks efficiently.
- Willingness to take on additional responsibilities beyond the formal job description.
- Capable of collaborating effectively with all departments.
Compensation Structure: Starting salary will be based on experience, with additional leasing commissions and performance-based bonuses available after an initial review period. A desire for career advancement is essential.
