Job Overview

A prominent legal practice is seeking a Litigation Administrative Assistant to join our team. The successful candidate will possess a minimum of 5 years of experience in supporting litigation professionals, including attorneys and paralegals, with a solid foundation in litigation processes.

Essential Information:

Work Arrangement: Hybrid model (3 days in-office), 40-hour work week, standard hours from 9:00 am to 6:00 pm

Compensation: Up to $110,000

Reporting To: Senior Manager of Legal Administrative Services

Key Responsibilities:

  • Foster positive and collaborative relationships with Practice Group Partners, Associates, Paralegals, clients, administrative teams, and external service providers.
  • Deliver high-quality, error-free work within designated timelines.
  • Develop a comprehensive understanding of efficiencies and teamwork within the local and firmwide administrative teams.
  • Collaborate effectively with the administrative team to support attorneys and paralegals while prioritizing exceptional client service.
  • Share responsibilities for covering attorneys and paralegals as needed.
  • Understand and manage the litigation workflow, including document preparation, filing, and service arrangements.
  • Handle State, Federal, and Appellate ECF filings with a thorough understanding of court regulations and scheduling requirements.
  • Be proficient with court's PacerPro and trial preparation documentation; travel may be required for trial or trial preparation.
  • Utilize legal resources and tools for research, case law retrieval, and access to necessary forms.
  • Generate and troubleshoot Tables of Contents and Authorities using Best Authority; maintain proficiency with citation formats.
  • Compile and coordinate court filings, ensuring the client's internal file system is current in iManage/Propel.
  • Convert documents, manage administrative tasks, and update attorneys' schedules.
  • Coordinate services with vendors, oversee timekeeping protocols, and assist with billing practices.
  • Review monthly invoices for accuracy, respond to client inquiries, and resolve accounts receivable and collections issues.
