Job Summary:

The Customer Service Representative is responsible for delivering exceptional customer experiences by providing timely and accurate communication based on customer needs. This role involves the accurate and prompt processing of customer orders and full order life cycle management, including order processing, order management, order changes, cross-functional collaboration for order fulfillment, and leading all order-related communication to the customer.

Key Responsibilities:
  • Order Management: Efficiently and accurately place orders, confirm orders via phone, email, or EDI, and provide timely communication regarding order changes to the customer.
  • Order Verification: Verify all shipping, billing, pricing, and purchase order information to ensure accuracy.
  • Customer Communication: Regularly communicate with internal and external customers on various issues, providing necessary support to sales staff while in the field.
  • Team Collaboration: Operate as a team member on all data entry and order intake, supporting other Customer Service Representatives as necessary.
  • Audit and Compliance: Audit customer purchase orders for pricing, quantity, terms of sale, requested ETA (if applicable), carrier, special shipping instructions, and double-check other's orders to ensure compliance with regulations and policies.
  • Customer Complaint Resolution: Document and resolve customer complaints in a timely and professional manner.
  • Product Returns: Process customer product returns in a timely manner and in accordance with prescribed and documented procedures.
Requirements:
  • Education and Experience: 2+ years of experience in Customer Service or a similar discipline, preferably in Chemical Distribution or Manufacturing.
  • Problem-Solving and Communication Skills: Must have the capacity to problem-solve, work independently, and consistently demonstrate strong listening, speaking, and decision-making skills.
  • Interpersonal and Teamwork Skills: Excellent interpersonal skills with a passion for collaboration, dedication to teamwork, customer satisfaction, and results.
  • Technical Skills: Skilled at working in a fast-paced, deadline-driven environment to prioritize heavy workload and multitasking, with experience in Microsoft Office Suite, ERP/CRM systems, and team collaboration tools.
