Position Summary
The Legal Administrative Assistant will provide comprehensive support to multiple attorneys, including but not limited to the preparation and revision of correspondence, legal documents, and pleadings; maintaining calendars; and managing various office and client filing systems, as well as electronic transcription.
The ideal candidate will possess a typing speed of at least 65 words per minute with high accuracy, and demonstrate exceptional organizational skills, multitasking abilities, and attention to detail. A minimum of three years of recent experience as a legal secretary, including familiarity with electronic filing processes, is required.
Key Responsibilities
- Assist attorneys by maintaining awareness of current cases and projects, utilizing available resources effectively.
- Provide support to up to four attorneys in employment law matters, with additional backup as necessary.
- Manage phone communications and client interactions on a daily basis.
- Serve as a liaison between internal departments and external agencies.
- Prepare and revise correspondence, pleadings, and other legal documents as directed.
- Handle a variety of complex and confidential materials that are time-sensitive.
- Conduct conflict checks and initiate new client engagements as requested.
- Maintain attorneys' calendars, continuing legal education (CLE) records, reports, and timekeeping records.
- Coordinate travel arrangements, including flights, accommodations, and transportation, making necessary adjustments to reservations.
- Manage docketing for litigation attorneys.
- Transcribe electronic dictation and schedule depositions.
- Perform various office and client filing tasks; proofread documents for accuracy.
- At least three years of recent legal secretarial experience within a law firm, with a focus on labor and employment law preferred.
- Typing speed of 65+ words per minute.
- Experience with law firm billing software is advantageous. Familiarity with state and federal legal rules and procedures is essential.
- Solid understanding of legal terminology and court filing processes.
- Experience in trial preparation and drafting briefs.
- Punctual with a strong attendance record.
- Proficient in generating Tables of Authorities.
- Excellent verbal and written communication skills, along with strong proofreading abilities.
- Able to manage multiple tasks and respond to deadlines while balancing workload effectively.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong interpersonal skills and the ability to collaborate effectively in a team-oriented office environment.
- High School diploma or equivalent is required.
- A four-year college degree is preferred.
