US COMM FOR REFUGE is seeking a highly organized and detail-oriented Office Manager to join our team in Colchester, Vermont. As the first point of contact for clients, customers, and visitors, you will be responsible for providing exceptional customer service and ensuring a positive experience for all who interact with our office.
Key Responsibilities:- Customer Service: Manage the reception area and waiting room, maintaining a clean and welcoming environment. Greet and direct incoming visitors and clients, responding to questions and providing assistance as needed.
- Administrative Support: Provide administrative support to staff, including preparing new case files and program forms, managing staff supplies and cleaning supplies closets, and ordering office and cleaning supplies.
- Human Resources Support: Administer background checks for volunteers and interns, assist with on-boarding new hires, and maintain good working relations with USCRI HR and Operations.
- Language Access Support: Support the Language Access Program by accurately entering interpretation requests, scheduling and assigning interpreters, and liaising with customers seeking interpretation and translation services.
- Immigration Service Support: Provide assistance with immigration clinic scheduling and preparation activities, and assist clients in identifying the appropriate immigration processes and forms.
- A bachelor's degree in a relevant field or five years of experience in office administration/management.
- Solid written and oral English communication skills, with bilingual English and Arabic, French, Kinyarwanda, Kiswahili, or Somali a plus.
- Excellent interpersonal skills, attention to detail, and accuracy.
- Thorough understanding of office equipment, recordkeeping systems, and computer applications such as SharePoint, Outlook, Word, Excel, and Zoom.
- Excellent time-management and organizational skills, with the ability to work independently and as part of a team.
