Position Overview

Salary: $72,000-$80,000

Stillwater Sciences is looking for a Financial Project Coordinator to support our operations. This role is crucial for the financial health and operational efficiency of our organization. The ideal candidate will be able to work autonomously while also collaborating effectively within a team. They should be adept at managing stress and deadlines while resolving issues with precision. Excellent communication skills are essential for liaising with Project Managers and other team members regarding billing, subcontractor, and invoicing processes. This is a full-time position requiring 40 hours per week.

Key Responsibilities

Responsibilities include, but are not limited to:

  • Collaborate with fellow Financial Project Coordinators and Project Managers on monthly Time & Materials, Fixed Price, Lump Sum, and Daily Rate project billings utilizing Deltek Vantagepoint software.
  • Execute labor transfers, input and process subcontractor invoices, and make necessary adjustments to client invoices.
  • Review and process Employee Expense reports.
  • Generate various project reports and provide assistance to other Financial Project Coordinators as needed.
  • Maintain organized and comprehensive electronic billing documentation.
  • Assist Project Managers with Deltek Vantagepoint Resource Planning, including data entry and reporting.
  • Engage in monthly Accounts Receivable collections.
  • Offer backup support in other areas of the finance department.
  • Complete ad hoc tasks as required.
Minimum Qualifications

Required qualifications include:

  • A minimum of 2 years of experience in preparing project invoices using various compensation methods such as Time & Materials, Fixed Price, Lump Sum, and Daily Rates.
  • Experience with project billing through ERP financial software systems, preferably Deltek's Vantagepoint, or similar software. Project accounting experience is advantageous.
  • Background in an architecture or engineering firm, or another industry that involves billing for job costs or services rendered.
  • Demonstrated organizational skills with the ability to manage multiple tasks effectively.
  • Strong attention to detail, follow-through, and problem-solving capabilities.
  • Ability to interact professionally and courteously with all levels of staff, agency representatives, and clients.
  • Intermediate proficiency in Microsoft Office (Word, Excel, and Outlook) and Adobe Acrobat, with experience in Pivot Tables, SumIf, and other functions being a plus.
  • Flexibility to work both independently and as part of a team.
  • Integrity and sound judgment when handling confidential information.

Compensation and Benefits

Compensation: $72,000 - $80,000 annually, based on qualifications and experience.

Benefits: This full-time position offers a competitive compensation package, including Paid Time Off, a 401(k) plan, comprehensive health and dental coverage, and eligibility for employee ownership through our Employee Stock Ownership Program (ESOP) upon meeting entry criteria.

Work Schedule: Hybrid work schedule with a minimum of 24 hours per week in the office.
