Position Overview:

We are seeking a dedicated Senior Executive Assistant to provide essential support to the CEO, CTO, and the broader executive team. This role is vital in managing schedules, coordinating high-level meetings and events, handling sensitive communications, and assisting in the creation and organization of presentation materials.

The ideal candidate will be highly organized, proactive, and discreet, capable of managing a diverse range of tasks while anticipating the needs of our leadership team.


Key Responsibilities:
1. Calendar Management:

Efficiently manage the daily schedules of executives, prioritizing complex calendars in alignment with business needs.


2. Communication Liaison:

Serve as the primary contact between the CEO, other executives, and both internal and external stakeholders, ensuring professional and confidential communication.


3. Meeting Coordination:

Organize executive meetings by preparing agendas, compiling necessary materials, taking minutes, and following up on action items.


4. Document Preparation:

Prepare and distribute reports, presentations, and other documents for the executive team, ensuring accuracy and professionalism.


5. Travel Arrangements:

Plan and coordinate travel logistics for executives, including itineraries and expense reports.


6. Project Management:

Assist with special projects and strategic initiatives, providing administrative support to ensure timely completion.


7. Event Coordination:

Collaborate with stakeholders to coordinate internal and external events as required.


8. Confidentiality:

Handle sensitive information with the utmost discretion and integrity.


9. Ad Hoc Support:

Provide additional support to the executive leadership team as needed.


Qualifications:

Minimum of 2 years of experience supporting C-level executives in corporate software environments; experience in fast-growing companies is advantageous.

Possess a positive attitude and a collaborative mindset.

Open to taking on diverse challenges and projects.

Ability to work in a hybrid environment, commuting as necessary.

Proficient in Google Suite and relevant software; familiarity with project management and communication tools is a plus.

Exceptional multitasking abilities in high-pressure situations.

Strong written and verbal communication skills with keen attention to detail.

Excellent interpersonal skills to build relationships with diverse teams and stakeholders.

Proactive, resourceful, and equipped with strong problem-solving skills.

High integrity and discretion in managing confidential information.

Adaptable to changing priorities and capable of handling unexpected situations with professionalism.
