Job Description: Office Operations Coordinator

Estimated Salary: $60,000 - $80,000 per year

We are seeking an organized and detail-oriented individual to fill the role of Office Operations Coordinator. The successful candidate will be responsible for providing administrative support to the Property Manager by handling office operations in accordance with Douglas Emmett's standards.

Key Responsibilities:

  • Greet visitors and ensure a positive first impression of our building
  • Answer telephones and respond to inquiries in a professional manner
  • Dispatch engineering teams to address tenant service requests
  • Follow up on tenant requests to confirm timely completion of work
  • Manage mail and deliveries, including opening, dating, and distributing them
  • Order office supplies and kitchen essentials
  • Prepare tenant payments for deposit and forward them to the Corporate office
  • Contact tenants who are late paying rent
  • Prepare invoices for payment
  • Prepare tenant memos
  • Prepare employee timesheets and forward them to the Corporate office
  • Compile monthly reports, including leasing reports, stacking plans, deal lists, tenant contact lists, emergency contact lists, and delinquency reports, for review and approval by the Property Manager
  • Coordinate tenant welcome gifts and events with the Property Manager and vendors
  • Interface with various Douglas Emmett departments, such as accounting, design and development, human resources, legal, leasing, technical services, and property management
  • Research and recommend cost-effective and efficient methods for performing administrative duties
  • Pursue special projects assigned by the Property Manager

Requirements:

  • Intermediate level knowledge of Word and Excel
  • Strong written and verbal communication skills
  • Able to project a professional image by adhering to Douglas Emmett's dress code standards
  • Ability to communicate clearly, positively, and professionally with tenants, employees, and vendors
  • Able to exercise good judgment and professional demeanor when interacting with building management, tenants, and vendors
  • Able to work well under pressure, prioritize multiple tasks, and produce high-quality accurate work consistently
  • Team player attitude
  • Strong customer service orientation
