Job Summary

We are seeking a highly organized and detail-oriented Project Assistant to join our team at JE Group of Companies. As a Project Assistant, you will play a critical role in supporting our project management team by performing a variety of tasks related to project maintenance, vendor and client contact management, and administrative duties.

Key Responsibilities
  • Conduct research and gather information to support project inquiries from clients.
  • Manage project openings and modifications using project management software.
  • Update and maintain vendor and client contact records in the project management system.
  • Process client purchase orders and draft invoices for transmission to clients.
  • Assist with mail processing and vendor invoice entry for AP processing.
  • Perform basic IT support tasks with the support of off-site IT consultants.
  • Purchase supplies and services under the direction of the project manager.
  • Obtain quotes from vendors and create requisitions and purchase orders as requested.
  • Provide primary support for phone system and office administrative duties.
  • Maintain a clean and organized workspace.
Requirements
  • Bachelor's or Associate's degree preferred.
  • 1-3 years of experience in business administration or project management support.
  • Excellent time management and organizational skills.
  • Ability to work independently and as part of a team.
  • Excellent written and verbal communication skills.
  • Ability to multitask and handle multiple interruptions.
  • Proficiency in Microsoft Office and Adobe Acrobat.
  • Accurate data entry skills (45+ words per minute with minimal errors).
  • Legally authorized to work in the United States.
  • COVID-19 vaccination required (medical and religious exemptions considered).
Desirable Skills
  • Strong working knowledge of MS Office.
  • Experience with project management software.
  • 1 year of experience using QuickBooks Online.
Working Conditions

The job is performed in an office environment with minimal exposure to safety hazards. The job requires some physical exertion, including sitting, standing, occasional light lifting, carrying, pushing, and pulling. The job requires operation of standard office equipment, including computers, telephones, copiers, etc.

The job requires following written and oral instructions, attention to detail, ability to multitask, ability to work with others, and ability to meet deadlines. The job requires following established policies and procedures, meeting quality and safety standards, and regular attendance.

The job requires making decisions based on experience and knowledge without supervision and requires responsibility for results.

Salary and Benefits

The salary range for this position is $45,000-$55,000 annually, depending on qualifications. We offer excellent benefits, including health, dental, and pension, and opportunities for career growth, training, and continuing education.
