Job Overview

At ADAPT Community Network, we are seeking a highly skilled and detail-oriented Administrative Support Specialist to join our team. This role will provide clerical and secretarial support to the Program Director and other members of their staff, ensuring seamless day-to-day operations.

Key Responsibilities:

  • Greets visitors, ascertains their needs, and directs them accordingly.
  • Answers telephone calls and screens them for the program director and/or other department staff.
  • Works collaboratively with other administrative assistants on joint assignments.
  • Interacts respectfully with individuals receiving services encountered during work activities.
  • Relays information as necessary from and to bus drivers and/or transportation liaison.
  • Directs important situations, inquiries, and questions to the supervisor.
  • Types records, reports, correspondence, and other documents.
  • Types requisitions for purchase orders, tracks delivery of items, and forwards packing slips or receiving reports to the purchasing department.
  • Orders and maintains an adequate inventory of office supplies.
  • Receives, opens, sorts, and distributes incoming mail and packages.
  • Records attendance for individuals served on monthly calendars for billing purposes.
  • Keeps track of staff attendance, vacations, and sick leave, verifying the accuracy of time and attendance forms.
  • Maintains a filing system of administrative and program materials, keeping files current.
  • Performs photocopying as needed.
  • Reimburses staff for approved petty cash expenditures, maintains accurate petty cash records, and arranges for replenishment as required.
  • Sets up coffee and other refreshments for meetings as requested.
  • Takes direction from an administrative assistant IV if present in the department, providing work assignments, guidance, and instructions to administrative assistants I and II.

Requirements:

  • Ability to read, write, speak, and understand English.
  • Good interpersonal skills to interact effectively with employees, coworkers, other departments, and outside contacts.
  • Must maintain the strictest confidentiality due to the sensitive nature of the position.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Knowledge of modern office practices and procedures, including business correspondence, record-keeping systems, and office equipment.
  • Moderate proficiency in the use of a personal computer and appropriate software.
  • Good organizational skills.
  • Good oral and written communication skills.
  • Must pass the agency's computer-based software typing examination.

Education and Experience:

  • High School Diploma or GED; some college or secretarial school preferred.
  • One year of related work experience.

Compensation: $17.19/hour + industry-leading benefits for all full-time employees.
