Job Overview

TOTE Maritime Alaska LLC is in search of a Terminal Specialist to enhance our operations at the Tacoma Terminal office. This role is pivotal in ensuring exceptional service delivery to our clients.

Key Responsibilities:
  • Deliver outstanding customer support to both internal and external stakeholders through various communication channels.
  • Manage the creation and modification of bookings efficiently.
  • Coordinate deliveries and pickups, including scheduling driver appointments at the terminal.
  • Allocate customer bookings to specific TOTE Maritime Alaska vessels.
  • Address customer inquiries regarding vessel schedules and operational protocols.
  • Educate customers on relevant policies and regulations pertaining to shipments.
  • Conduct yard inventory reconciliations.
  • Resolve issues raised by customers and vendors.
  • Facilitate effective communication within the organization.
  • Address and resolve terminal-related vehicle issues.
  • Establish temporary organizations and update contact details for existing ones.
  • Oversee and rectify all Web and EDI bookings.
  • Process customer payments when required.
  • Generate and audit various computer reports.
  • Engage in daily communications with other departments.
  • Provide comprehensive support across the department.
  • Execute precise and efficient data entry tasks.
  • Perform additional duties as assigned.
Qualifications:
  • Preferred: Associate's degree.
  • One to two years of experience in customer service or billing, ideally within the transportation sector.
  • Exceptional customer service capabilities.
  • Strong verbal and written communication skills.
  • Proficient mathematical skills.
  • Effective organizational abilities.
  • Team-oriented mindset.
  • Capacity to manage multiple tasks and prioritize effectively.
  • Ability to work independently with minimal supervision.
  • Flexibility to work varied hours, including evenings and weekends as needed.
  • Proficient in standard software applications, including Windows and MS Office Suite (Outlook, Word, PowerPoint, Excel) as well as web-based applications.

The salary range for this position is $38,300 – $67,100, with an anticipated hiring range of $42,000 - $50,000, influenced by factors such as education, experience, location, and specific job responsibilities.

Full-time employees are entitled to a comprehensive benefits package, including health, dental, vision, life insurance, short-term and long-term disability, employee assistance programs, a 401(k) plan with company matching, tuition reimbursement, and paid leave options. Employees also receive a minimum of 10 days of vacation, 10 days of sick leave, 10 paid holidays, and one floating holiday annually. Additionally, an annual discretionary bonus may be available based on eligibility.
