Position Title: Accounting Specialist

Role Summary: The Accounting Specialist will be instrumental in upholding precise financial documentation and facilitating the efficiency of our accounting functions. This role is office-based and requires a candidate with a solid foundation in accounts receivable, accounts payable, billing, and collections, along with a 2-year accounting certification.

Core Responsibilities:

  1. Accounts Receivable Management:
  • Timely generation and distribution of customer invoices.
  • Monitoring and following up on overdue customer payments.
  • Reconciliation of accounts receivable records.

  • Processing vendor invoices and ensuring prompt payments.
  • Reconciliation of accounts payable records.
  • Addressing vendor inquiries and resolving any discrepancies.
  1. Billing Coordination:
  • Preparation and verification of billing statements for accuracy.
  • Collaboration with internal teams to ensure correct billing practices.
  • Handling billing-related inquiries and resolving issues.
  1. Collections Management:
  • Execution of collection strategies to recover outstanding debts.
  • Engagement with customers to address payment challenges.
  • Maintaining detailed records of collection efforts.
  1. Data Entry and Management:
  • Accurate entry of financial data into accounting systems.
  • Ensuring data accuracy and resolving discrepancies.
  1. Proficiency in QuickBooks:
  • Effective use of QuickBooks for financial record maintenance.
  • Generating reports and analyses as required.
  1. Office and Customer Interaction:
  • Managing phone inquiries related to accounting functions.
  • Delivering exceptional customer service to both internal and external stakeholders.
  • Collaborating with various departments to ensure financial data accuracy.
  1. Utilization of Microsoft Outlook:
  • Employing Microsoft Outlook for communication and coordination.

Candidate Qualifications:

  • A 2-year accounting certification is mandatory.
  • Demonstrated experience as an Accounting Specialist or in a similar capacity.
  • Strong understanding of accounting principles and practices.
  • Proficiency in QuickBooks and Microsoft Office Suite.
  • Exceptional data entry skills with a keen eye for detail.
  • Strong organizational and time management skills.
  • Effective communication and customer service abilities.
