The Senior Executive Coordinator will become an integral part of Scott Auto Group, serving as a vital support to the Dealer-Owner of our expanding automotive enterprise. This position reports directly to the Dealer-Owner and requires collaboration with senior leadership teams, as well as the organization and coordination of executive events and special projects.

Key Responsibilities:

Corporate Development Initiatives:

  • Handle sensitive information with utmost confidentiality, discretion, and sound judgment.
  • Facilitate the submission of executive applications and various reports related to new dealership ventures and acquisitions.
  • Maintain essential corporate records and ensure compliance with business licenses and legal documentation.

Executive Management:

  • Oversee and prioritize the Dealer-Owner's calendar, ensuring focus on strategic and critical matters.
  • Manage a dynamic schedule of competing priorities and resolve scheduling conflicts for the Dealer-Owner.
  • Act as a liaison with external agencies on behalf of the Dealer-Owner.
  • Provide proactive alerts regarding potential challenges or obstacles to special projects.
  • Optimize the Dealer-Owner's time by conducting research, gathering information, and preparing in advance.

Personal Support:

  • Represent the Dealer-Owner and the organization with professionalism, exceptional follow-through, and sound judgment.
  • Welcome guests of the Dealer-Owner, whether in person or via phone, addressing inquiries appropriately.
  • Coordinate travel arrangements, accommodations, and itineraries for the Dealer-Owner and family, ensuring timely updates.
  • Manage Visa and Passport preparations and renewals.
  • Schedule personal appointments and procure gifts for the Dealer-Owner.

Team Collaboration:

  • Organize resources for in-person meetings and off-site events, including venue selection and catering arrangements.
  • Plan and participate in leadership meetings, preparing and distributing agendas, and recording meeting minutes.
  • Collaborate with the Executive Team, including the Director of Operations, Controllers, HR, and Dealership Management.
  • Prepare various documents such as Word files, Excel spreadsheets, PowerPoint presentations, and reports to support organizational objectives.
