The Role: Office Manager
The Office Manager is crucial to the daily operations of the school, focusing on relationship building, safety, and the overall functionality of the institution. The ideal candidate will possess strong verbal and written communication skills and work collaboratively with various stakeholders, including school leaders and instructional staff. The ability to manage multiple responsibilities effectively is essential.
Key Responsibilities:
Main Office Operations & Customer Engagement
- Serve as the primary point of contact for visitors and families.
- Foster strong relationships with staff, students, families, and guests.
- Oversee visitor welcome and sign-in protocols.
- Manage incoming mail and communications.
- Handle phone inquiries and direct them to the appropriate personnel.
- Prepare and distribute written communications as needed.
- Maintain organization in staff lounges, mailrooms, and offices.
- Address student needs, including basic first aid and communication with families.
Attendance Management
- Participate in the school attendance team.
- Oversee daily attendance systems.
- Process late arrivals and encourage timely attendance.
- Issue truancy letters and coordinate meetings as necessary.
Administrative Support
- Assist school administration with daily tasks.
- Facilitate check-ins for students needing administrative support.
- Help schedule parent conferences and school events.
- Aid in the planning and execution of school-related activities.
Procurement and Supply Management
- Implement the school purchasing process, ensuring clear systems for staff requests.
- Manage the procurement of instructional materials and supplies.
Time Reporting and Substitute Coordination
- Oversee sign-in and sign-out procedures for substitute teachers.
- Collaborate with administration to coordinate substitute coverage.
- Assist substitutes with necessary resources and information.
Student Records Oversight
- Request and manage student records from previous institutions.
- Maintain and update student files regularly.
- Support the enrollment and registration process.
- Organize and distribute progress reports.
Fieldwork Coordination
- Manage logistics related to student transportation.
- Assist with parent communication regarding permissions and documentation.
Minimum Qualifications:
- A.A. degree required; Bachelor's Degree preferred.
- Bilingual in Spanish required.
- At least 2 years of administrative experience in a school, non-profit, or urban youth empowerment setting.
Skills and Attributes:
- Detail-oriented with strong organizational skills.
- Ability to prioritize tasks and work independently.
- Excellent verbal and written communication abilities.
- Proficient in Google Suite and Microsoft Office Suite.
- Mature and capable of handling multiple priorities.
- Strong interpersonal skills with students, parents, and colleagues.
- Ability to maintain professionalism under pressure.
- Previous experience in educational settings is preferred.
- Flexible and possesses a sense of humor.
- Enjoys working with children of all ages.
Supervision:
This position reports to the Director of Operations.
Time Commitment:
This is a full-time position with a standard work schedule.
