Job Overview

Position Summary:

Under the supervision of the Accounting Director, the Accounting Clerk plays a vital role in supporting the accounting team by executing various clerical duties. These responsibilities include data entry into financial systems, processing transactions, generating reports and budgets, managing communications with clients and vendors, verifying information, organizing files, and performing additional tasks as required.

Key Responsibilities:

  • Assists in the upkeep of spreadsheets and reports within the accounting framework, contributing to account balancing and reconciliation efforts.
  • Reviews invoices and billing documents to verify accuracy, ensuring proper allocation of funds before processing payments, and following up on overdue accounts.
  • Conducts analysis and reconciliation of spreadsheets, reports, and statements, investigating discrepancies and implementing corrective actions to maintain account integrity.
  • Organizes and files all accounts payable and receivable documentation, ensuring proper categorization.
  • Efficiently posts end-of-month journal entries and monthly accruals.
  • Performs account research as necessary, including downloading and distributing monthly credit card statements for coding.
  • Confirms payroll modifications for new employees and collaborates with the People & Culture department for onboarding and terminations.
  • Ensures financial security by adhering to internal accounting protocols.
  • Verifies and maintains up-to-date certificates of insurance for external vendors.
  • Provides assistance with special projects within the Accounting Department as needed.
  • Engages in various recordkeeping, reporting, and related tasks as assigned.
  • Maintains and updates data, lists, and reports consistently.
  • Acts as a backup for telephone duties as required.
  • Serves as a support resource for the Accounting Specialist.

Qualifications:

  • High school diploma, GED, or equivalent experience.

Additional Requirements:

  • Two to three years of experience in data entry or accounting within a professional setting.
  • Driven by a mission, aligned with core values, and pleasant to work alongside.
  • Proficient in the Windows environment, particularly in Word, Excel, and ADP.
  • Highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
  • Excellent interpersonal abilities.
  • Consistent attendance and a strong commitment to meeting deadlines.
  • Strong oral and written communication skills.
  • Dedicated to maintaining confidentiality at the highest level.
  • Must successfully pass a drug screening and background check.
  • Authorized to work in the United States.
