KEY RESPONSIBILITIES

1. Gathers financial data and aids in the creation of financial reports.

2. Prepares journal entries on a monthly, quarterly, and annual basis.

3. Reconciles general ledger accounts, including bank accounts, investments, and asset and liability balances.

4. Ensures accuracy by reconciling sub-ledgers with the general ledger and addressing discrepancies.

5. Prepares entries to account for monthly credit card expenses.

6. Manages the submission of monthly sales tax payments and the filing of related returns.

7. Assists with billing and reconciliation for federally funded projects.

8. Provides support and information to faculty, staff, students, and external organizations; clarifies accounting transactions and resolves discrepancies.

9. Aids in daily record keeping, organization, reporting, and banking operations.

10. Undertakes accounting tasks of varying complexity.

11. Assists in the accurate filing of various governmental forms.

Accounts Payable Duties

1. Organizes vendor statements; verifies vendor files for payment of outstanding invoices and communicates with vendors regarding any discrepancies.

2. Processes vendor invoices by confirming transaction details, scheduling payments, and obtaining necessary authorizations.

3. Engages with vendors to clarify any ambiguous invoice items or discrepancies.

4. Maintains comprehensive accounts payable records.

5. Collaborates with the Purchasing department to ensure invoices are paid against Purchase Orders.

Accounts Receivable Duties

1. Downloads daily banking activity to ensure all received funds are recorded in the Accounts Receivable subledger.

2. Logs cash bags containing checks and supporting documentation for deposits.

3. Processes checks through a desktop deposit machine and records receipts in the Accounts Receivable subledger.

4. Compiles data from various online platforms to accurately record receipts.

5. Communicates with departments to obtain missing information and clarify documentation.

6. Compiles monthly sales tax data for the completion of Sales and Use tax returns.

7. Maintains detailed accounts receivable records.

QUALIFICATIONS

Education and Experience

1. Bachelor’s degree in Accounting, Finance, or a related field.

2. Ability to perform tasks independently with minimal supervision.

3. Solid understanding of generally accepted accounting principles (GAAP).

4. Strong analytical and problem-solving skills.

5. Effective communication skills across all organizational levels.

6. Capable of managing multiple tasks and consistently meeting deadlines.

7. Proficient in drafting reports and business correspondence.

8. High attention to detail.

9. Knowledgeable in budgeting and expense management.

10. Proficient in Microsoft Office applications.
