Job Opportunity

We are seeking a skilled Document Specialist to join our team in the Greater Houston area. The successful candidate will play a crucial role in the accurate digitization and management of records, ensuring seamless integration between hard copy and digital formats.

About the Role:

  • The Document Specialist will be responsible for preparing and digitizing files, performing quality checks on digitized images.
  • The ideal candidate will have experience in digitizing and indexing records, as well as familiarity with OpenText or similar records management systems.

Responsibilities:

Digitization:
  • Prepare and digitize files, ensuring high-quality images.
  • Perform quality checks on digitized images to ensure accuracy.
Data Management:
  • Index and publish pages into OpenText for efficient searchability.
Records Maintenance:
  • Maintain and coordinate between hard copy files and computer records.
Customer Assistance:
  • Provide internal and external customers with requested information.
Compliance Reporting:
  • Prepare reports of site visits and desk reviews, documenting agency compliance and recommending improvements.
Audit Support:
  • Prepare audit programs and assist in scheduling and performing audits.
Grant Administration:
  • Support grant-related financial administration and assist with subrecipient contract reviews.

Requirements:

  • Experience in digitizing and indexing records is preferred.
  • Familiarity with OpenText or similar records management systems is a plus.
  • Strong attention to detail and organizational skills.
