We are seeking a highly motivated candidate to join our team as a Document Management Specialist.

About the Role:

This position involves working with Drawing and CAD files, including checking drawings in and out from Master Drawings Libraries, performing title block swaps, creating PDFs from CAD, extracting drawing metadata, and running scripts to edit drawing packages in bulk.

Daily tasks involve using this metadata to populate external databases supporting project teams, technical services, and operations across the enterprise.

The focus is on automation and processes, allowing designers to concentrate on designing while we handle the data.

The successful candidate will work closely with tools such as Excel, Aconex, SharePoint, OpenText, and DvTDM.

Key Responsibilities:

  • Ensure the quality of Document Control products and services to project teams and compliance with E&C project excellence.
  • Implement existing document control specifications.
  • Track contractor and vendor deliverables throughout the project lifecycle (recording revisions, revision purposes, distribution and transmittal histories).
  • Ensure the reliability, retrievability, and traceability of project data transmitted to and from Williams in accordance with Document Control standards and specifications.
  • Process incoming and outgoing correspondence in a timely manner.
  • Generate and update each supplier's and contractor's Master Deliverables Register in a timely manner.
  • Prepare and implement squad checking documentation according to procedure and distribution matrices.
  • Provide accurate status reporting based upon metadata designations and submit at the determined frequency.
  • Support the Lessons Learned Program as directed by E&C Project Excellence.
  • Maintain alignment with Document Control standards and ensure any deviations due to project-specific needs are controlled and traceable.

Requirements:

  • Intermediate to expert proficiency in MS Word, Outlook, and Excel 2007.
  • Experience with deliverables management (revision control, deliverables registers, squad checking, and libraries).
  • Experience with transmittals and correspondence management.
  • Experience in implementing document management systems for physical and electronic environments.
  • Ability to navigate Electronic Data Management System environments (such as ProjecTools, Livelink, Documentum, SharePoint, etc.).
  • Excellent communication and interpersonal skills to converse and convey ideas, facts, and issues clearly and professionally to a diverse project team.

Salary: $80,000 - $110,000 per year, depending on experience.
