Job SummaryWe are seeking a highly skilled and experienced Senior Manager of Meetings and Field Events to join our team. The successful candidate will be responsible for managing, coordinating, and executing group assignments driven by Marketing and/or turned over by the Sales Department. The focus of the role will be to lead event planning across the company and to manage and monitor all contractual agreements pertaining to events.
Key Responsibilities- Event Planning and Execution: Strategize, lead, and manage all events, coordinating all logistics and acting as the liaison for outside vendors to ensure top-notch execution.
- Inventory Management: Manage in-house assets (give-aways, booths, collaterals) and maintain third-party company store.
- Logistics and Shipping: Ship materials and assets to regional events. Track and plan return of durables (booth hardware, tablecloths, etc.)
- Sales Strategy: Develop and implement sales strategies to meet and exceed revenue goals.
- Client Relationships: Establish and maintain strong relationships with clients, ensuring high levels of customer satisfaction.
- Event Meetings: Host monthly event meetings with multiple internal departments to ensure successful execution of events.
- Collaboration: Collaborate with Marketing, Sales, and Operations to expand event schedule and execute on shows and events.
- Post-Event Analysis: Analyze post-event data and trends, providing insights and recommendations to improve performance and increase ROI.
- Event Budgeting: Work with Marketing, Sales, and Channel Sales to manage event budgets, ensuring profitability and cost efficiency.
- On-Site Presence: On-site for regional events of one's own choosing to ensure smooth delivery of arrangements.
- Communication: Respond quickly to requests in a friendly manner, and follow-up to ensure satisfaction.
- Industry Knowledge: Keep up to date with industry trends, competitor activities, and customer needs, providing insights and recommendations to senior management.
- Client Relations: Maintain strong client relations and ensure that conference specifications are communicated and executed for a successful meeting experience for attendees.
- Meeting Space Management: Monitor and manage meeting space according to contract and maximize investment, making adjustments as necessary for sponsorships and other miscellaneous contract benefits.
- Contract Review: Review contracts as well as other important information, i.e., room block, cut-off date, special concessions, and attrition clauses. Monitor and enforce program deadline dates and work with hotels to release meeting space not needed to ensure event is at or under budget.
- Revenue Forecasting: Accurately forecast group rooms and group food and beverage revenues for assigned groups and affiliate business within a 5% variance.
- Site Visits: Check sleeping room and suite block, special room concessions, and rates as outlined in contract with group reservations agents, as well as updating group reservations agents with any changes. Participate in site visits.
- Education: Bachelor's degree in marketing or related field of study.
- Experience: Minimum 3-5 years in event management.
- Track Record: Proven track record of meeting event targets.
- Team Management: Team management skills.
- Technical Skills: Experience with tools like Asana, SalesForce, Excel, and project management software.
- Communication Skills: Detail-oriented, able to anticipate needs of client through concise communication.
- Food Allergy Procedures: Understand and follow food allergy procedures and special orders/restrictions.
- Team Player: Get along well with others and be a team player.
- Communication and Interpersonal Skills: Excellent communication and interpersonal skills, build and maintain relationship with clients, nearby hotels, and fellow event planners.
- Catering Sales or Background: Catering sales or background is a plus.
- Vendor Relationships: Relationships with vendors for local printing projects a plus.
