Job Summary

The Administrative Associate is responsible for supporting the purchasing department with administrative tasks and projects. This role also serves as back-up support for the customer service supervisor.

Key Responsibilities
  • Tracks purchase orders to confirm receipt and reviews certificates of compliance.
  • Matches various documentation to ensure purchase order, related certifications, and quality records are received, proofread for accuracy and completeness, and in order.
  • Enters purchase orders, printing and emailing purchase orders.
  • Checks on the status of deliveries.
  • Completes filing.
  • Assists with updating information in Purchasing ERP system.
  • Uses Excel to assist with project forecasts and tracking.
  • Provides backup support as needed to the customer service supervisor with duties such as but not limited to: Processing and confirming customer purchase orders, reviewing sales orders to ensure accuracy, update / revise sales orders as needed, and maintaining customer quote files within ERP system.
Requirements
  • High School diploma, or general education degree (GED), and 1-3 years' office work experience.
  • Strong attention to detail.
  • Organizational skills.
  • Ability to multi-task.
  • Detail oriented and accurate.
  • Pleasant and welcoming demeanor.
  • Experience with Microsoft Outlook, Word, and Excel and ERP systems desired.
  • Familiarity with personal computers and computer hardware such as printers, keyboards, 10 key calculators, and scanners.
  • Strong written and verbal communications skills.
  • Excellent interpersonal skills required.
