Position Overview

Salary Range: $55,000 - $60,000

Reporting To: Executive Pastor

Role Summary: The Administrative Assistant role is designed to deliver high-level administrative support across the various ministry sectors of Victory Church. This individual will manage daily clerical tasks, administrative responsibilities, and other office functions. Acting as a representative of the Lead Team, the Administrative Assistant will communicate effectively and sensitively the intentions and decisions made by leadership.

Key Competencies: Exceptional communication skills, meticulous attention to detail, and the ability to prioritize multiple tasks are crucial for thriving in this dynamic and fast-paced environment. A genuine passion for ministry, a proactive mindset, and a commitment to excellence are essential attributes for success. Ideal candidates will be self-motivated, capable of working autonomously as well as collaboratively to achieve broader objectives.

Qualifications:

  • High school diploma or GED (preferred: college degree)
  • At least 2 years of experience in an administrative capacity
  • Proficient in Mac applications, Church Community Builder, Basecamp, etc.
  • Detail-oriented with advanced writing and grammar capabilities
  • Strong written, verbal, and interpersonal communication skills
  • Exemplary positive, patient, and professional demeanor
  • Trustworthy with the ability to anticipate needs independently and maintain focus on tasks
  • Commitment to uphold and represent Victory Church's Statement of Faith

Core Responsibilities:

  • Assist with financial documentation, including expense reports and check requests.
  • Oversee the church calendar and scheduling.
  • Coordinate travel arrangements for pastoral staff as required.
  • Support the planning and execution of special events, including resource preparation and event logistics.
  • Manage the Church Community Builder database.
  • Occasionally oversee the reception area.
  • Engage as an active member of the church community by participating in services and events.
  • Handle weekly procurement for departmental and event needs.
  • Facilitate the assimilation process for first-time visitors.
  • Maintain tracking spreadsheets for services and events.
  • Complete assigned tasks within the Church Community Builder.
  • Prepare and update volunteer manuals and role descriptions.
  • Assist in scheduling volunteers for services and events.
  • Communicate with volunteer leaders to ensure objectives are met.
  • Order catering for meetings and special events as necessary.
  • Perform additional duties as required to support the Pastoral Leadership Team.
