Overview
The Clinical Operations Supervisor is tasked with overseeing all facets of daily management within the designated clinic.

Key Responsibilities
  • Directs all elements of daily clinic management for the assigned facility, ensuring the provision of exceptional clinical quality and customer service to patients in a cost-efficient manner.
  • Maintains ongoing communication with physicians and staff throughout the day to guarantee optimal coordination in the delivery of healthcare services.
  • Conducts interviews, aids in training, and supervises all front and back office personnel within the clinic.
  • Assists the Director with the Just Culture initiative and employee termination processes as necessary.
  • Ensures adequate staffing levels in the clinic based on physician schedules, collaborating with other supervisors to adjust staffing resources as required.
  • Conducts probationary and annual performance evaluations for all clinic staff in partnership with the MSC Manager.
  • Manages timekeeping processes for the clinic.
  • Reviews daily physician schedules to ensure appropriate visit durations and types, working with front office staff to enhance patient access.
  • Implements operational adjustments in the clinic as directed by the MSC Manager in collaboration with the Director.
  • Acts as the MSC representative on committees, task forces, or project teams as directed, completing or coordinating assigned tasks.
  • Ensures compliance with regulations and readiness for surveys within the clinic.
  • Collaborates with the Director and Patient Financial Services Manager to guarantee accurate charge capture, compliance, and optimal revenue cycle management.
  • Assists the Director in coordinating operational aspects of provider transitions within the clinic.
  • Facilitates the development of an efficient referral workflow that enhances communication across departments.
  • Addresses customer complaints or escalates them to the Director as appropriate.
  • Serves as the site expert for all software utilized in managing clinic operations.
  • Educates staff on effective software usage and troubleshoots issues, coordinating with IT as necessary.
  • Orders medical and office supplies for the clinic.
  • Monitors clinic staffing and expenditures for budget compliance, providing justifications for necessary overtime or unbudgeted expenses.
  • Oversees end-of-day cash accounting procedures for the clinic.
  • Monitors and manages work queues assigned to the clinic.
  • Ensures accurate processing of medical record requests.
  • Participates in quarterly operational reviews of the practice as initiated by MSC leadership.
  • Engages in both front and back office responsibilities.
  • Contributes to the department's quality improvement initiatives.
  • Maintains all departmental records and documentation.
  • Exemplifies System Values in performance and behavior.
  • Adheres to System policies and procedures.
  • Other responsibilities as assigned.

Supervisory Responsibilities
Exhibits supervisory responsibilities in accordance with organizational policies and applicable laws, including interviewing, hiring, training, assigning, coaching, counseling, and disciplining employees; managing scheduling systems; communicating job expectations; planning, monitoring, appraising, and reviewing job contributions; enforcing policies and procedures.

Minimum Education/Experience
Completion of a certificate program from a college or vocational school or 6 months to 1 year of relevant experience.

Required Licenses/Certifications
BLS: Employee will be enrolled in the Resuscitation Quality Improvement (RQI) Basic Life Support (BLS) Entry or Prep Curriculum (depending on previous BLS certification). - Within 3 months of hire into the position.

Other Experience/Qualifications

Required:
  • A willingness to receive on-the-job training for previously unlearned duties is essential.
  • Knowledge of medical terminology is required, along with familiarity with medical documents and chart components.
Preferred:
  • Bi-lingual Spanish.
