Overview
This role involves supporting the Directors of Primary Care and Specialty Clinics in assessing and enhancing clinic operations, mentoring Practice Leads, and executing operational and programmatic improvements across the Multispecialty Clinics (MSC).

Key Responsibilities
  • Manages all facets of clinic operations and personnel-related performance and compliance.
  • Optimizes clinic workflows for enhanced efficiency tailored to service lines.
  • Ensures appropriate staffing levels in each clinic based on patient volumes.
  • Facilitates the hiring and onboarding processes for new clinic personnel.
  • Acts as a primary resource for MSC clinics and Practice Leads.
  • Designs and implements initial and ongoing training programs for Practice Leads.
  • Assists Practice Leads in adopting High Reliability practices.
  • Conducts regular audits of each clinic to ensure compliance and readiness for surveys, collaborating with Practice Leads to rectify any deficiencies.
  • Maintains proficiency in software utilized for managing departmental operations and educates staff on effective usage.
  • Oversees payroll for physicians and staff.
  • Supports the business office with billing inquiries and registration requirements.
  • Collaborates with the Director of Primary Care/Specialty Clinics on various initiatives, including:
    • Practice evaluations and turnaround strategies.
    • Changes in physician panels, transitioning private clinics to hospital-owned facilities, relocations, and modifications in clinic licensure.
    • Operational adjustments across the MSC.
    • Workflow assessments and process enhancements.
  • Participates actively in the MSC leadership team, working alongside the Director of Primary Care/Specialty Care on:
    • Leadership and strategic direction of the MSC.
    • Identifying and resolving issues.
    • Addressing staff concerns and challenges.
    • Enhancing quality and productivity outcomes.
    • Ensuring compliance with Rural Health Clinic designations.
  • Monitors staff adherence to all organizational and departmental policies and procedures.
  • Effectively prioritizes competing demands and utilizes available resources to fulfill job responsibilities efficiently.
  • Reviews all MSC invoices related to Multispecialty clinics, confirming the receipt of ordered items or services, notifying the Director of any unbudgeted or unusual expenses, assigning appropriate department and account codes, and forwarding approved invoices to Accounts Payable for processing.
  • Collaborates with other department managers to standardize operational processes and expectations across all MSC clinics.
  • Maintains positive working relationships with clinic staff, providers, and hospital management.
  • Exemplifies System Values in performance and conduct.
  • Adheres to System policies and procedures.
  • Performs additional duties as assigned.

Minimum Education/Experience
Associate's Degree or equivalent from a two-year college or technical school, or 3 or more years of relevant experience.
