Job Purpose:

The Warranty Administrator plays a crucial role in ensuring the prompt and accurate submission of manufacturer and after-market warranty claims, resulting in the collection of all warranty revenues. This position requires strong organizational and communication skills to maintain productive relationships with manufacturers and after-market warranty companies.

Duties and Responsibilities:
  • Review and follow up on all manufacturers and after-market warranty company policies and procedures to ensure compliance.
  • Establish and maintain relationships with manufacturers' designated warranty representatives and after-market warranty companies.
  • Verify the accuracy and completeness of warranty repair orders, returning them for correction as necessary.
  • Determine and enter the applicable labor operation codes, failure codes, and administrative data required for warranty claims.
  • Ensure that repair orders are properly flagged with the correct technician(s) and Flat rate hours earned.
  • Monitor the use of special warranty programs for diagnostic time, straight time repairs, and other benefits to prevent abuse.
  • Report any abuses or fraudulent manipulation of warranty claims to management.
  • Submit warranty claims to manufacturers or Warranty Company using available administrative tools.
  • Document and collect deductibles from customers at the time of repair completion or delivery.
  • Review and resubmit returned or rejected claims, and maintain a record of all claims submitted, returned, rejected, or paid.
  • Provide weekly reports to the service manager on claim status and strive to maintain a minimum warranty claims acceptance rate of 95% and no more than 10 days of warranty receivables.
  • Provide backup support to Service Advisors and service personnel as needed, and adhere to designated work hours and reporting requirements.
Qualification Requirements:
  • Good driving record.
  • Good judgment.
  • Ability to read and comprehend instructions and information.
  • Conduct oneself in a manner that brings credibility to the dealership.
