JOB TITLE: FINANCIAL OPERATIONS MANAGER

LOCATION: REMOTE

FSLA STATUS: EXEMPT - FULL-TIME, REPORTS TO CEO

JOB SUMMARY: The Financial Operations Manager is tasked with overseeing the daily financial activities of Communities In Schools of Pennsylvania, ensuring the accuracy of financial documentation and the integrity of financial data. This role encompasses direct involvement in accounting functions, including the management of the general ledger, accounts payable, accounts receivable, payroll, and financial reporting. The Financial Operations Manager will also provide guidance and support to the Accounting Coordinator, ensuring that all financial responsibilities are executed efficiently, accurately, and in accordance with Generally Accepted Accounting Principles (GAAP). Collaboration with the executive team, Board of Directors, and Finance Committee is essential to maintain financial health and compliance.

ESSENTIAL JOB FUNCTIONS:

Accounting Oversight:


• Manage daily financial operations, including general ledger upkeep, journal entries, reconciliations, accounts payable, accounts receivable, and payroll management.


• Prepare and analyze monthly financial statements and reports, ensuring precision and thoroughness.


• Supervise month-end and year-end closing activities.


• Oversee all accounting and reporting related to grants.


• Ensure adherence to GAAP, IRS regulations, and other relevant financial reporting standards.


• Lead and mentor the Accounting Coordinator, providing training and ensuring timely and accurate completion of all financial tasks.


• Collaborate with external consultants and accounting firms as needed.

Financial Reporting & Analysis:


• Generate and present regular financial reports and dashboards, ensuring clarity and accuracy.


• Assist in the preparation of the annual budget and track actual expenditures against budgeted figures.


• Conduct financial analysis to uncover trends, variances, and opportunities for enhancement.

Audit & Compliance:


• Coordinate and manage the annual audit process, working closely with external auditors.


• Ensure compliance with internal controls and recommend enhancements as necessary.


• Oversee the preparation of Form 990 and other required tax documentation.

Operational Support:


• Maintain and enhance the organization's accounting systems and procedures.


• Collaborate with the executive team to support financial planning and budgeting initiatives.


• Ensure proper documentation and record-keeping for all financial transactions.

EDUCATION AND EXPERIENCE:


• Bachelor's degree in accounting or finance.


• At least 5 years of relevant accounting experience, with a minimum of 2 years in a nonprofit setting.


• Proficient in accounting software (e.g., MIP) and strong knowledge of Microsoft Office 365.


• Experience in financial reporting, budgeting, and internal controls.


• CPA certification preferred, but not mandatory.


• Collaborative and hands-on approach.


• Ability to thrive in a dynamic nonprofit environment.
