Billing Specialist

The Billing Specialist plays a vital role in overseeing the billing and invoicing operations. This position involves coordinating and executing the complete billing process for designated attorneys and clients, including editing pre-bills, processing client invoices, and ensuring compliance with client billing guidelines. The Billing Specialist is essential in delivering accurate, compliant, and timely billing by collaborating effectively with attorneys, clients, and staff.

Key Responsibilities
  • Prepare, review, and accurately generate invoices for legal services, ensuring compliance with client-specific billing guidelines and fee arrangements.
  • Produce pre-bills, make necessary edits, and finalize invoices for distribution to clients.
  • Maintain comprehensive records of billing transactions, adjustments, and correspondence related to billing inquiries and resolutions.
  • Utilize legal billing software systems proficiently to manage billing processes and ensure precision.
  • Handle e-billing tasks, including uploading new timekeeper rates and monitoring invoice statuses to address any rejections promptly.
  • Process and submit electronic invoices through various online e-billing platforms.
  • Track and manage reimbursable expenses, disbursements, and other billable costs associated with legal matters.
  • Generate detailed billing reports for attorneys, summarizing billing information and providing aging analysis.
  • Address billing inquiries and discrepancies professionally, ensuring exceptional client service.
  • Maintain organized billing records and databases, including client matter information and payment terms.
  • Collaborate with attorneys, paralegals, and administrative staff to resolve billing-related issues and streamline processes.
Qualifications
  • Bachelor's degree in Accounting, Finance, Information Technology, or a related field, or equivalent relevant experience.
  • Prior experience in law firm billing is strongly preferred.
  • Experience with electronic billing, including tracking status and troubleshooting.
  • Strong attention to detail and problem-solving abilities.
  • Familiarity with law firm billing software and e-billing applications is highly desirable.
  • Understanding of LEDES formats and proficiency in MS Office, particularly advanced Excel skills.
  • Excellent communication skills, both verbal and written, with the ability to respond to inquiries from clients and staff.
  • Strong interpersonal skills to maintain effective relationships with partners, attorneys, clients, and staff.

Compensation: $60,000 - $70,000
