This position entails coordinating and executing the complete billing cycle for designated attorneys and clients, which includes editing pre-bills, processing client invoices, adhering to client billing protocols, and resolving billing inquiries efficiently.
- Generate, review, and accurately prepare invoices for legal services, ensuring compliance with client-specific billing guidelines and fee arrangements.
- Produce Pre-Bills, implement necessary edits, and finalize invoices for distribution to clients.
- Maintain comprehensive records of billing transactions, adjustments, and communications regarding billing disputes and resolutions.
- Utilize legal billing software systems proficiently to manage billing processes and ensure precision.
- For electronic billing, upload new timekeeper rates and request new matter setups in vendor sites, while monitoring invoice statuses to address any rejections promptly.
- Process and submit electronic invoices through various online e-billing platforms.
- Track reimbursable expenses, disbursements, and other billable costs associated with legal matters.
- Prepare detailed billing reports for attorneys, summarizing billing information and providing aging analysis.
- Address billing inquiries, discrepancies, and payment issues promptly, ensuring exceptional client service.
- Maintain organized billing records and databases, including client matter information and payment terms.
- Collaborate with attorneys, paralegals, and administrative staff to resolve billing-related issues and streamline processes.
- Bachelor's degree in Accounting, Finance, Information Technology, or a related field, or equivalent relevant experience.
- Prior experience in law firm billing is strongly preferred.
- Experience with electronic billing processes, including tracking and troubleshooting.
- Strong attention to detail and problem-solving abilities.
- Familiarity with law firm billing software and e-billing applications is highly desirable.
- Understanding of LEDES formats, with knowledge of ASCII and XML formats being a plus.
- Proficiency in MS Office, particularly Word and advanced Excel skills.
- A strong client service orientation and ability to work collaboratively in a team environment.
- Effective communication skills, both verbal and written, to address inquiries from clients and staff.
- Interpersonal skills necessary to build effective relationships with partners, attorneys, clients, and staff, demonstrating professionalism and responsiveness.
Compensation: $60,000 - $70,000
