Role Overview:
Are you the next Corporate Events Coordinator we are seeking? Globe Life is in search of a skilled Corporate Events Coordinator to become a vital part of our team.
In this capacity, you will oversee and execute incentive trips, corporate meetings, and training academies. Exceptional interpersonal skills and adaptability in a dynamic environment are essential for success. The corporate events coordinator must be prepared to travel frequently to assist senior personnel in orchestrating large-scale events both nationally and internationally. This position also entails the sourcing, planning, and execution of small to mid-sized events from inception to completion. You will take full ownership of specific meetings without requiring assistance from senior staff.
This is a hybrid role based in McKinney, TX (Remote work on designated days).
Key Responsibilities:
- Develop a project timeline; establish a workflow schedule with vendors to ensure timely and precise management of all program details.
- Utilize event management software to oversee the program from initial contract discussions to final billing.
- Manage and negotiate additional hotel requirements, destination management services, transportation, and all third-party agreements.
- Monitor attrition deadlines, cancellation policies, and ensure the fulfillment of contracted services.
- Facilitate communication between Marketing and meeting stakeholders regarding registration and application requirements for assigned programs.
- Coordinate and participate in site inspections as necessary.
- Organize all program details and create a comprehensive itinerary that outlines all specifics and requirements.
- Conduct program debriefs with meeting stakeholders as needed.
- Collaborate with the accounting team to finalize billing and review invoices prior to reconciliation.
- Maintain accurate records, system entries, and comprehensive file management for all meeting documentation.
- Assess program effectiveness and reevaluate objectives and outcomes, planning for ongoing improvement.
- Work closely with designated teams to communicate registration and travel needs, status updates, and maintain ongoing communication throughout the program.
- Assist with events of varying complexity, including those requiring high confidentiality and international scope.
- Oversee the overall program budget, review and audit all related billing for accuracy, and consistently report expenses to management.
- Maintain proactive and positive communication with clients to ensure clarity of expectations and satisfaction.
- Collaborate with third-party suppliers to arrange their services.
- Foster strong relationships with multiple contacts within both company and supplier organizations.
- Ensure accurate forecasting for meetings.
- Take ownership of onsite execution and overall meeting management.
Qualifications:
- Bachelor's Degree or equivalent experience.
- Certification in Meeting Planning (CMP) is advantageous.
- Previous planning experience is beneficial.
- Experience in onsite meeting execution.
- Familiarity with the RFP process.
- Contract negotiation skills.
- Transportation management experience.
- Event registration expertise.
- Proficiency in event management software.
