Office Assistant Job Description

Ultimate Staffing is seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a vital role in ensuring the smooth operation of our office. Your responsibilities will include managing incoming calls, scheduling appointments, maintaining office supplies, and providing general support to our team.

Key Responsibilities:
  • Communication and Scheduling: Answer and direct phone calls, emails, and other correspondence. Schedule and coordinate meetings and appointments.
  • Office Administration: Maintain and order office supplies, ensuring the office is well-stocked. Assist with data entry, filing, and maintaining accurate records.
  • Support and Coordination: Support the preparation of reports, presentations, and other documents. Greet and assist visitors in a professional and courteous manner.
  • Mail and Deliveries: Manage incoming and outgoing mail and deliveries.
Qualifications:
  • Education: High school diploma or equivalent.
  • Experience: Previous experience in an office or administrative role is required.
  • Skills: Strong organizational and multitasking skills. Excellent verbal and written communication skills. Knowledge in Microsoft Office Suite (Word, Excel, Outlook).
  • Personal Qualities: Ability to work independently and as part of a team. Reliable, punctual, and professional demeanor.
