SUMMARY OF POSITION
The Grants and Contracts Administrator plays a crucial role within the Office of Sponsored Programs, overseeing the administrative management of sponsored research initiatives at WPI.
This position provides essential support to principal investigators (PIs) in various facets of award management, including the establishment of awards, reporting, maintenance, subcontracting, and finalization of projects.

DETAILED JOB DESCRIPTION
Core Responsibilities
The Grants and Contracts Administrator is tasked with the comprehensive administrative oversight of sponsored research awards at WPI.
This role involves collaboration with PIs on numerous aspects of award management, including:
- Facilitating the review and negotiation of award documentation with relevant stakeholders.
- Entering award information into the award management system and generating reports for PIs and department heads.
- Monitoring compliance with sponsor policies and award conditions.
- Ensuring that all necessary compliance approvals are current and properly documented.
- Keeping PIs informed about award statuses, expiration dates, and renewal timelines.
- Assisting PIs in obtaining necessary approvals for various project-related requests.
- Ensuring timely fulfillment of deliverables and reporting obligations in accordance with university and sponsor requirements.
Subcontract Management
Responsible for preparing subawards, subcontracts, and professional service agreements, ensuring all documentation is completed accurately and efficiently.
Reporting Duties
Generate and distribute reports detailing proposal and award activities, as well as providing ad hoc reports as requested by faculty and administration.
Customer Engagement
Maintain open communication with PIs regarding the status of their awards and any administrative changes.
Respond promptly and professionally to inquiries from PIs, department heads, and other stakeholders.
Additional Responsibilities
Update and maintain the departmental website using WPI's content management system as needed.
Perform any other duties that support the research activities at WPI.
Qualifications
A Bachelor's Degree is required.
Prior administrative experience is preferred, which may include relevant student work experience.
Candidates should possess strong organizational skills, effective time management abilities, and the capacity to handle multiple tasks while prioritizing effectively.
Proficiency in Microsoft Office and familiarity with databases or enterprise reporting software is essential.
Excellent written and verbal communication skills are necessary, along with the ability to interact with tact and discretion in a customer service-oriented environment.
Critical thinking, flexibility, and analytical skills are vital for success in this role.
Maintain confidentiality and uphold the highest ethical standards.
Ability to work independently while exercising sound judgment in seeking guidance when necessary.
