Role Purpose:

We are looking for a Facilities Manager to oversee operations in Austin, TX. This pivotal position reports directly to the General Manager and requires a high degree of independence, swift decision-making, and some administrative duties.

Key Responsibilities:

  • Tenant Relations:
    • Address and manage all tenant inquiries and service requests, ensuring proper documentation and communication.
    • Facilitate tenant move-in and move-out processes.
    • Maintain effective communication with tenants and vendors.
    • Conduct property inspections in collaboration with Building Technicians.
    • Prepare and distribute accounts receivable and delinquency notifications.
    • Ensure compliance with tenant insurance requirements.
    • Oversee building operations and capital improvements.
    • Initiate corrective actions for maintenance and janitorial issues identified during inspections.
    • Enforce building regulations regarding common areas and parking.
    • Manage special projects related to tenant renovations and new move-ins.
    • Assist in processing daily time reports for maintenance staff.
  • Vendor Oversight:
    • Maintain daily contact with vendors, including custodial and maintenance services.
    • Review security reports and take necessary follow-up actions.
    • Ensure vendor invoices are accurate and compliant with contracts.
    • Prepare vendor invoices for supervisor approval and coordinate with accounting.
    • Verify that new vendor documentation and insurance are on file.
    • Audit vendor invoices for timely payment and accuracy.
  • Financial Management:
    • Review monthly accounts receivable for tenant-related work and assist in collecting overdue payments.
    • Support the preparation of budgets and monitor financial compliance.
    • Assist in generating monthly variance reports and other financial documentation as required.

Qualifications:

  • 1-3 years of experience in real estate or property management is preferred.
  • A high school diploma is required; further education or relevant experience is a plus.
  • Completion of CPM/RPA courses is ideal.
  • Strong organizational skills and attention to detail are essential.
  • Ability to maintain confidentiality and demonstrate professionalism.
  • Familiarity with software such as Microsoft Office, property management systems, and basic accounting principles.
  • Capability to physically oversee multiple properties and interact with tenants and vendors on-site.
