Position Overview

The Administrative Operations Coordinator plays a pivotal role in executing the directives of the Institute's Director.

Key Responsibilities

The successful candidate will oversee the daily operations of the Director's office, demonstrating a proven history of managing administrative functions within a diverse department.

This role demands exceptional organizational capabilities to effectively address, prioritize, and manage multiple tasks and challenges simultaneously.

Located at the USC Stevens Hall of Neuroimaging in Los Angeles, this position reports directly to the Director of the Institute.

Accountabilities
  • Oversees the daily functions of the Director's office, including staff supervision, management of electronic information systems, and authorization of acquisitions and maintenance of equipment and facilities.
  • Ensures compliance with university policies and procedures while resolving complex departmental issues.
  • Maintains precise, secure, and confidential records for faculty and/or staff, administers benefits programs, and reviews proposed staff changes for approval or denial.
  • Facilitates faculty and/or staff recruitment, development, and succession planning.
  • Establishes and nurtures relationships with faculty and/or staff members under the Director's supervision, tracking the progress of departmental programs and projects.
  • Manages special projects and assists in the formation of ad hoc committees, ensuring timely completion of assigned tasks.
  • Participates in departmental planning processes, which may include budget, policy, and strategic planning.
  • Develops and sustains an effective communication strategy within the department.
  • Assists in the creation, preparation, and delivery of reports, publications, presentations, and official correspondence.
  • Supports the Director with daily tasks, including travel arrangements, meeting scheduling, and calendar management.
  • Welcomes donors and visitors, escorting them to the Director's office.
  • Handles various administrative projects and assignments to enhance the efficiency of the Director's office.
Qualifications
  • Bachelor's degree or a minimum of 5 years of relevant experience.
  • Proficient in understanding, interpreting, and communicating university policies and procedures.
  • Exceptional oral, written, and interpersonal communication skills.
  • Strong analytical and problem-solving abilities.
  • Outstanding organizational skills and the ability to build effective relationships.
  • Capacity to thrive in a fast-paced environment while managing competing priorities.
  • Adept at critically evaluating challenges and identifying effective solutions.

The annual base salary range for this position is competitive and reflects the scope and responsibilities of the role, as well as the candidate's experience and qualifications.
