Your Responsibilities:
Reporting to the Director of Sales & Marketing and Executive Leadership, your key responsibilities will include, but are not limited to:
- Establishing and executing administrative systems and procedures while providing essential support.
- Overseeing the Sales and Executive email inbox and lead generation platforms to ensure timely responses to inquiries.
- Assisting the Sales and Executive teams with various tasks, including room bookings, group resumes, and the Sales turnover process.
- Engaging in general sales outreach activities, including correspondence, thank you notes, emails, contract support, billing assistance, rooming lists, and information gathering.
- Participating in required meetings for sales, marketing, and the executive team, providing meeting minutes as needed.
- Preparing for sales site inspections and media visits by checking rooms and arranging amenities/cards for VIP guests.
- Acting as the hotel liaison for VIP arrivals and corporate visits.
- Supporting the creation and printing of marketing materials such as menus and flyers.
- Managing online reviews and ensuring timely responses.
- Assisting the sales and marketing team with coordinating creative requests.
- Generating various sales reports on a daily, weekly, and monthly basis.
- Handling internal mail delivery and pick-up.
- Collaborating with operational departments on projects and materials as requested by the Executive Team.
- Ordering VIP amenities as directed by the Executive office.
- Maintaining the inventory of office supplies.
- Ensuring confidentiality of all correspondence and communications within the office.
- Supporting the Ethics and Social Responsibility Committee.
- Being available for flexible working hours for morning and evening activities as required.
- Performing additional hotel-related tasks as assigned.
Your Skills and Experience:
- Exceptional interpersonal and communication abilities.
- Capability to prioritize tasks in a multi-faceted environment.
- Ability to manage complex and confidential information with discretion.
- Proficiency in various computer software applications.
- Strong working knowledge of MS Word, Excel, email, and internet research.
- Demonstrated organizational skills.
- Professional demeanor and maturity.
- Positive outlook.
- Prior experience in the hotel industry is preferred.
