Job Summary

The Curatorial Assistant and Administrative Coordinator plays a vital role in supporting the Chief Curator and Curator in the planning, organization, and realization of current and future exhibitions. This position is responsible for assisting with research, planning, and organization, as well as providing administrative support to the curatorial team.

Key Responsibilities

  • Assist the Chief Curator and Curator with research, planning, and organization of exhibitions, including creating detailed exhibition checklists and preparing bibliographic and biographical material.
  • Obtain necessary copyrights and assist with the research and writing of gallery ambassador interpretive text.
  • Administer the curatorial side of the loan request process and answer general curatorial inquiries.
  • Conduct gallery tours as necessary for visitors and assist in cultivation activities.
  • Keep informed of current activity around departmental interests through gallery and museum visits, publications, and other activities.
  • Assist the Chief Curator and Curator with scheduling meetings, booking travel, and processing receipts.
  • Work with the ICA and university finance departments to ensure all administrative processes are performed accurately and according to protocol.
  • Assist in researching and writing exhibition interpretive texts, maintaining editing schedules, and ensuring accuracy of information in print and online.
  • Function as a liaison with other departments within the ICA and with colleagues throughout the university and the field.
  • Organize and oversee curatorial cross-departmental meetings, including gathering agendas, recording action items, and scheduling.
  • Organize and disseminate exhibition-related material through digital platforms and in-person.
  • Conduct talks, walkthroughs, and participate in public programs.
  • Supervise and mentor interns and work studies.
  • Assist the Chief Curator and Curator in all aspects of book production, including working with editors, designers, and production managers to develop workflow and maintain schedules.
  • Manage the flow of incoming and outgoing texts with internal departments and external freelancers.
  • Identify ISBNs, bar codes, and imprints on jackets, covers, and title pages.
  • Work with the Library of Congress to obtain copyright information and Cataloging-in Publication data.
  • Participate in ideation and determine the scope of work, schedule, budget, and implementation for select exhibition public events.

Qualifications

  • Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.
  • Supporting ICA in its commitment to creating a diverse, inclusive, and equitable institution is vital to this position.
  • The Curatorial Assistant and Administrative Coordinator must be a generous, thoughtful, and clear communicator, have accomplished writing skills, a strong attention to detail, an ability to organize and manage multiple projects, and a desire to work collaboratively.
  • Familiarity with Excel, Word, PowerPoint/Keynote, Microsoft Office 365, Adobe Suite, Google Drive, BaseCamp, and Outlook will be beneficial.
