Position Overview:
The Patient Services Representative is responsible for a range of essential functions within a medical office environment, including patient check-in/out, appointment management, and medical record administration.

Key Responsibilities:
1. **Education and Experience:** High school diploma required. Familiarity with patient scheduling and insurance billing is advantageous. Strong communication and customer service skills are essential. Proficiency in computerized medical office operations is expected.

2. **Core Duties:**

- Manage incoming calls, schedule patient appointments, and oversee patient check-in and check-out processes.
- Contact patients on recall lists to arrange appointments and follow up with those who missed their appointments.
- Provide a warm and professional greeting to patients and ensure accurate registration.
- Confirm daily schedules with healthcare providers and assist with any necessary adjustments.
- Communicate electronically with other departments to facilitate patient flow and document wait times.

- Ensure accurate documentation in patient medical records as required.
- Support the billing department by collecting co-pays and outstanding patient balances, providing clear copies of insurance cards and demographic information.
- Verify that insurance verifications are current and accessible for staff.

- Uphold HIPAA privacy and security standards, providing the Notice of Privacy Practices to new patients or upon request.



Performance Standards:
1. Maintain a tidy and organized workspace, promptly reporting any safety concerns.
2. Demonstrate efficiency in task management and assist colleagues when duties are completed.
3. Communicate any challenges or concerns regarding job responsibilities to the team leader.
4. Execute all tasks with minimal errors and adhere to deadlines.
5. Represent the Cardiovascular Institute of the South in a professional manner at all times.

- Exhibit strong interpersonal skills when interacting with physicians, staff, and patients, ensuring a professional demeanor at all times.

6. Foster positive relationships with colleagues to achieve shared goals and responsibilities.
7. Collaborate effectively with all team members to ensure optimal patient care and meet established standards.
8. Adhere to the Compliance Plan relevant to the outlined responsibilities.

- Strive to maintain compliance by following established guidelines, participating in compliance training, and addressing any compliance-related concerns.

9. Ensure thorough and accurate documentation in both paper and electronic medical records as applicable.
10. Work alongside EMR staff to uphold quality standards and contribute to future EMR enhancements.
11. Safeguard patient confidentiality in accordance with HIPAA regulations.
