Position Summary

The Procurement Specialist is responsible for managing customer orders for project fulfillment, sourcing from either stock inventory or the distribution network. This role requires close collaboration with internal teams to oversee the order pipeline, ensuring that service level agreements (SLAs) for order-to-invoice timelines are met or exceeded. Precision is vital, as the Procurement Specialist will review, verify, and process various order types, including dropship, stock, run rate, deployment, or installations. Additionally, this position involves handling return requests to maintain high levels of customer satisfaction. Key Responsibilities
  • Verify project order requests for correctness.
  • Process project order requests promptly.
  • Monitor open project orders to align with project expectations.
  • Engage with suppliers to expedite outstanding orders.
  • Update the sales team on order statuses, including shipping notifications and back orders.
  • Investigate and resolve vendor invoice discrepancies.
  • Maintain detailed records of project-specific order processing.
  • Handle RMA requests related to project orders from both distribution and internal warehouses.
  • Communicate effectively via phone, email, and in-person with relevant stakeholders.
  • Assist various departments in researching and resolving order-related issues, such as missing shipments and shipping errors.
  • Participate in the planning and execution of special events, specific projects, or program changes as needed.
  • Perform additional duties as assigned by management.
Qualifications
  • A minimum of four years' experience in customer service or procurement is required.
  • Education: High school diploma required; college degree or project certifications preferred.
  • Strong attention to detail and accuracy are essential for efficient order processing.
  • Advanced analytical and research skills to address complex situations.
  • Excellent organizational skills to manage all aspects of purchasing and support.
  • Proficient clerical skills, along with data entry and computing capabilities.
  • Familiarity with standard office productivity software is necessary.
  • Experience with NetSuite is preferred.
  • Ability to pass a background check is required.
