Job Summary

We are seeking a highly organized and detail-oriented Front Office Coordinator to join our team at OptiMindHealth. As a Front Office Coordinator, you will be responsible for providing exceptional customer service to our patients and ensuring the smooth day-to-day operations of our business office.

Key Responsibilities
  • Reception Management:
    • Manage the day-to-day operations of our outpatient mental health office
    • Open and close the office according to our protocol
    • Maintain the office in a neat and professional appearance
    • Check the daily schedule for accuracy and confirm with all providers
    • Answer and respond to telephone calls and email correspondences with professionalism
    • Review and inventory supplies for the office and provide orders to management
    • Ensure that HIPAA Notice of Privacy Practices and other relevant notices are properly displayed
  • Patient Management:
    • Maintain a professional reception area and organize patient education materials
    • Greet and welcome patients and visitors to the practice
    • Check in patients according to office protocol, verifying and updating patient information
    • Manage recall and inactive patient systems
    • Oversee patient relations, solicit feedback, and handle patient complaints under management's indirect supervision
    • Help explain office policy to patients
    • Confirm the next day's appointments according to protocol and patient preferences
    • Review patient quick-fill lists to fill in cancellation and no-show appointment times
    • Collect payment from patients at the time of treatment
    • Make follow-up appointments as needed at the direction of clinicians
    • Review Financial and Care Contract agreements with patients at the end of their appointments
  • Other Duties:
    • Gather and accurately record insurance information from patients, updating as necessary
    • Accurately file patient information in the practice's electronic health record
    • Track cases and referrals to and from other practices
    • Sort, organize, and distribute mail
    • May assist with the design of marketing and promotional materials
    • May assist with office facility management
    • Solicit, monitor, and respond to online reviews from patients
    Requirements
    • High school diploma
    • 1+ years of front office experience in a healthcare setting
