The Outsourced Services Consultant plays a pivotal role in managing all internal-facing vendor-provided corporate services for CNA. This position involves reviewing reports related to Corporate Travel, Mailroom Operations, Corporate Card, Fleet, Courier, and Office Supplies to ensure compliance with Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) during quarterly business evaluations. The consultant will collaborate with internal stakeholders to ensure their needs are met and that documentation is up-to-date. Additionally, the role requires building and maintaining vendor relationships while monitoring service quality, expenses, and customer satisfaction.

Key Responsibilities

The Outsourced Services Consultant will undertake a variety of tasks in line with departmental standards:

  • Responsible for reporting on vendor performance and service delivery metrics. Collaborates with the Corporate Services team to manage relationships with outsourced providers across various services, including mailroom, records management, courier services, catering, travel, and more. Provides recommendations for contract improvements in consultation with Procurement.
  • Assesses travel objectives and programs established by management, ensuring alignment with vendor policies and internal procedures.
  • Oversees related expenditures and assists in the management and submission of the departmental budget. Works closely with both internal departments and external vendors to ensure timely and accurate processing of vendor payments and reconciliations.
  • Reviews and approves final invoices from outsourced providers to verify the accuracy of charges. Coordinates with Financial Planning & Analysis on accruals for services rendered but not yet billed, as well as accounting chargebacks for usage-related services.
  • Generates reports for leadership to assess vendor performance and offers recommendations ahead of contract renewals. Conducts analyses on vendor utilization to ensure mutually beneficial relationships.
  • Manages market share travel commitments with preferred suppliers to maintain corporate discounts.
  • Develops, analyzes, and maintains reports related to travel and fleet management, tracking business travel trends to provide insights for efficiency improvements and cost savings.
  • Actively manages content through CNA's designated Travel Management tool and intranet sites, ensuring relevant information is accessible to Corporate Service end users. Streamlines communication channels to ensure process changes are effectively communicated across the organization.
  • Establishes and nurtures collaborative relationships with vendors, monitoring and analyzing service delivery, results, and expenses. Conducts quality reviews to identify areas for improvement and develop actionable solutions.

Required Skills, Knowledge & Abilities
  • Proficient in managing external travel, mailroom, fleet, and corporate card operations.
  • Familiarity with industry trends in travel, mailroom operations, corporate credit card management, and fleet services.
  • Exceptional communication and presentation abilities.
  • Strong interpersonal skills with the capacity to engage effectively with both internal and external partners.
  • Adept at maintaining a client-focused approach, even in challenging situations.
  • Excellent organizational, analytical, and problem-solving skills, with a data-driven mindset and the ability to prioritize multiple projects.
  • Proficient in Microsoft Office Suite and other relevant business software.
  • Capable of working independently and collaboratively across departments.
  • Willingness to travel up to 10% of the time.
Education & Experience
  • A bachelor's degree in a related field is preferred, or equivalent experience.
  • Typically requires 3 to 5 years of relevant work experience.
  • Experience in managing corporate programs such as mailroom, travel, corporate cards, and fleet services.
