I. OBJECTIVE

The Property Operations Supervisor is a hands-on leadership role that:

  • Oversees, guides, and manages a team of Maintenance Technicians.
  • Provides specialized training to Maintenance Technicians on various tasks and projects.
  • Prioritizes craftsmanship, quality, safety, and tenant satisfaction.
  • Evaluates projects and segments them into manageable components for completion by Maintenance Technicians and external vendors.

II. RESPONSIBILITIES

The key responsibilities of this position include, but are not limited to:

  • Staff Management Tasks
a. Supervise the daily activities of a team of Maintenance Technicians in the field, serving as the main point of contact for inquiries and concerns.

b. Oversee a range of preventative, scheduled, and urgent maintenance tasks across Altair's property portfolio.

Tasks should be created, updated, and finalized in Altair's Computerized Maintenance Management System (CMMS), including recurring tasks as necessary.

c. Conduct random daily inspections of tasks as a quality assurance measure, ensuring each Maintenance Technician is inspected at least once a week. Inspections should encompass both ongoing and completed work.

d. Coordinate with external contractors and service providers to ensure timely service delivery. Meet or assign Maintenance Technicians to assist vendors on-site by providing access, locating utilities, and sharing site-specific knowledge.

e. Address tenant complaints, resolve quality issues, and implement additional training and corrective measures as needed.

Conduct monthly property walkthroughs (with the Property Manager or Assistant when feasible), identifying maintenance deficiencies and scheduling necessary corrective actions.

These walkthroughs may be scheduled after hours to assess lighting conditions. Tasks should be entered by the Property Manager when applicable.

Self-schedule for specific tasks requiring site visits, additional oversight, or support to ensure prompt and accurate completion of work.

h. Collaborate in the hiring and onboarding process with the Director of Operations. Train new Maintenance Technicians on assigned properties and tasks.

i. Facilitate regular continuing education sessions on specific properties and best practices.

Respond to escalated after-hours calls when additional support or guidance is required, and self-dispatch as appropriate in accordance with Altair's on-call schedule.

k. Participate in regularly scheduled meetings with the Director of Operations, Janitorial Manager, and Maintenance Dispatcher. Conduct bi-weekly team meetings with Maintenance Technicians to discuss equipment needs, scheduling, special projects, weather conditions, etc.

Assist the Director of Operations and Property Manager in developing specifications for capital improvement projects at client properties as assigned.

m. Conduct quarterly one-on-one meetings with Maintenance Technicians to emphasize development and training.

n. Act as a mediator for Maintenance Technicians in any arising issues.

  • System Management Tasks
a. Adjust Maintenance Technician workflows based on task urgency, skill level, and location. Communicate changes to the Dispatcher and inform the Director of Operations of any staffing, equipment, or large material needs.

b. Oversee time clock usage, ensuring appropriate time and location for clock-ins, and approve time-off requests.

c. Maintain records in Altair CMMS for all assigned tasks, track receipts, and update time and travel logs.

d. Supervise the maintenance and storage of Altair equipment, ensuring all tools are returned after use, kept clean, and in good working condition.

Keep relevant on-call information updated within Altair CMMS for all properties, including preferred vendors, passwords, codes, key system locations, and shutoffs.

f.

Manage access control for digital and key systems, distributing keys, programming fobs, and adjusting lock timers as directed by the Director of Operations or Property Manager.

g.

Be knowledgeable about computerized energy management systems, access systems, computerized HVAC systems, and security/fire protection systems, as well as other systems within the properties to assist the Operations Department in managing these systems.

h. Clock in and out daily and submit time-off requests via Webclock.

i. Organize emails daily using The Stack Method.

  • Client & Tenant Management Tasks
a. Deliver the highest level of customer service and responsiveness to tenants.

Perform additional duties as required for the effective operation of the business.

III. QUALIFICATIONS

Education: Bachelor's degree or equivalent trade experience - preference given to those with trade certification.

Experience: Minimum of 2 years in a similar role.

IV. SPECIAL REQUIREMENTS

  • Knowledge of various types of building equipment and operating systems.
  • Working knowledge of plumbing, electrical systems, HVAC, and carpentry.
  • Self-motivated and proactive.
  • Customer-service oriented.
  • Maintains a professional appearance and demeanor.
6. Ability to manage multiple projects and tasks simultaneously.

  • Vision and hearing correctable to within normal range for effective communication with tenants,
contractors, and service providers.

  • Ability to work outdoors in all weather conditions.
  • Ability to work at elevated heights.
  • Able to safely lift 50 lbs.
  • Valid driver's license and reliable transportation.

V. EQUIPMENT UTILIZED

  • Cellphone (CMMS, Microsoft Teams, Outlook).
  • System controllers (HVAC, security, fire protection).
  • Various hand tools and power tools.
  • Ladder, scaffolding, and other rigging equipment.
