Position: Police Records Clerk
SUPERVISOR: Custodian of Records Supervisor
EMPLOYMENT STATUS: Non-Exempt
ROLE SUMMARY
The Police Records Clerk is integral to the operations of law enforcement agencies, responsible for the accurate management and preservation of police records, investigations, and related documentation.
REQUIREMENTS
- High School Diploma or equivalent.
- Effective communication and public relations abilities.
- Proficiency in Microsoft Office Suite, particularly Word and Excel.
- Subject to a thorough background check and polygraph examination.
SKILLS AND COMPETENCIES
- Exceptional organizational skills with a keen eye for detail.
- Expertise in data entry and database oversight.
- Understanding of applicable laws and regulations.
- Capacity to uphold confidentiality standards.
- Strong interpersonal skills for engaging with both internal staff and the public.
KEY RESPONSIBILITIES
- Oversee the maintenance of police department records.
- Assist in the procurement and management of office supplies.
- Handle, secure, and reconcile all fees associated with daily operations.
- Input and keep current information in the police department's databases.
- Register sex offenders and manage the associated accountability programs.
- Organize and maintain police records, reports, and documentation.
- Ensure filing systems are orderly and accessible to authorized personnel.
- Provide information and assistance to the public, both in person and via phone.
- Direct inquiries to the appropriate departments or personnel.
- Support investigators by compiling and organizing information for ongoing cases.
- Prepare and distribute necessary case-related documents.
- Coordinate with the judicial system for timely document submissions.
- Process legal documents as required.
- Offer general administrative assistance to police department staff, including photocopying and document distribution.
- Assist in scheduling appointments, meetings, and court appearances.
- Maintain an organized and efficient office environment.
- Collaborate with other departments and agencies as needed.
- Facilitate effective communication among various units within the police department.
- Adhere to established policies and procedures to ensure compliance with laws and regulations.
- Handle sensitive information with discretion and maintain confidentiality.
- Engage in training programs to enhance skills and knowledge related to police administration.
- Perform additional duties as assigned.
This role is essential and may require service during emergency situations.
