Job Summary:

Key Responsibilities:
  • Contribute to the daily operation of the Human Resources Department by performing a variety of secretarial and administrative duties.
  • Maintain confidentiality and professionalism in all interactions with internal and external customers.
  • Represent the mission, vision, and values of the Cowlitz Indian Tribe and the Human Resources Department.
Essential Duties & Responsibilities:
  • Open and close the HR office in a timely fashion according to established policies and procedures.
  • Establish and maintain an effective filing and retrieval system of HR files, communication, and information.
  • Answer incoming calls, determine the purpose of calls, and forward calls to appropriate personnel or department.
  • Receive, sort, log, and route mail and packages.
  • Greet internal and external customers and visitors, determine the nature of their business, answer questions, and direct them to the appropriate personnel.
  • Assist employees by checking out vehicles and keys as needed.
  • Coordinate and set up interviews, schedule attendees and conference rooms.
  • Manage and sort all incoming resumes, contact supervisors, update recruiting spreadsheets, and maintain and operate office machines, equipment, and computers.
  • Order and maintain inventory of office supplies, photocopy, collate, distribute, and file documents.
  • Transmit outgoing faxes and retrieve, log, and distribute incoming faxes.
  • Communicate with staff, clients, and co-workers to answer questions, disseminate or explain information.
  • Generate and track purchase orders for the timely and accurate payment to vendors.
  • Upload travel and expense receipts for the HR Department, COO, and Legal Department.
  • Maintain confidentiality regarding staff, clients, personnel records, and other confidential information.
  • Monitor incoming email and distribute to the appropriate staff.
  • Clean and maintain the reception area.
  • Establish, maintain, and update files, databases, records, and/or other documents.
  • Maintain strict confidentiality and present a positive, professional demeanor and image at all times.
  • Manage special projects as assigned by the HR Director and provide additional support to the HR team.
  • Support Enrollment, the Executive Assistants, COO, and Chairman as necessary.
  • Contribute to a team effort and accomplish related results as required.
Requirements:
  • High School Diploma/GED.
  • Two years' experience working in an office setting, preferably in HR or executive reception.
  • Valid driver's license required when driving vehicles for work-related purposes.
  • Ability to successfully pass a background screening/investigation according to established requirements.
Work Environment:

The Cowlitz Indian Tribe is an Equal Opportunity Employer and a Drug & Alcohol-Free workplace. This position requires working in an office setting with a moderate noise level, occasional evening and/or weekend work, and travel for training, meetings, conferences, presentations, and other events.
