Event Operations Coordinator

BBI Logistics, a frontrunner in delivering effective logistics, transportation, and real estate solutions, is thrilled to expand our operations. We are on the lookout for a talented Event Operations Coordinator to oversee our amenity space, ensuring flawless execution of events while managing budgets and timelines effectively. This role is pivotal in orchestrating all events at our new headquarters. The ideal candidate will possess exceptional organizational skills, a keen eye for detail, and the capability to juggle multiple responsibilities in a fast-paced environment. A successful background in event management and a strong customer service orientation are essential.

Key Responsibilities:
  • Gain a comprehensive understanding of event requirements
  • Establish, negotiate, and maintain relationships with vendors, suppliers, and contractors for event-related services
  • Secure venues, coordinate guest schedules, draft and finalize contracts, and manage day-of logistics
  • Collaborate with the marketing team to create content for event materials and implement marketing strategies
  • Oversee attendee registration, communication, and follow-up to ensure a positive experience
  • Manage event setup, execution, and teardown
  • Handle the setup and operation of audio/visual equipment
  • Perform additional duties as assigned
Qualifications:
  • 1-3 years of experience in event planning or coordination, ideally in a corporate setting
  • Bachelor's degree (or equivalent) in Hospitality, Marketing, Event Management, or a related discipline
  • Strong customer service orientation
  • Demonstrated success in organizing creative and impactful events
  • Outstanding organizational, multitasking, and problem-solving abilities with meticulous attention to detail
  • Ability to remain composed under pressure, with a proactive and motivated approach
  • Team-oriented with the capacity to work independently
  • Willingness to work flexible hours, including weekends, as necessary for events
